As a key member of the senior leadership team, you act as a strategic extension of the CEO's office by helping translate vision into execution, ensuring priorities remain aligned, communication flows effectively, and critical relationships are maintained across the organization and community.

PRIMARY RESPONSIBILITIES

Executive Office Leadership & CEO Support

Serve as the primary partner to the CEO in managing priorities, commitments, communications, and workflow.

Strategically manage the CEO's calendar, ensuring alignment between organizational priorities, stakeholder relationships, and key opportunities.

Anticipate CEO needs by preparing briefings, talking points, background materials, and decision-support information.

Act as a trusted steward of the CEO's time, exercising sound judgment regarding matters requiring escalation, delegation, or direct CEO involvement.

Translate CEO direction, ideas, and strategic conversations into actionable plans, assignments, and follow-up.

Board Governance & Leadership Support

Coordinate Board of Directors, Executive Committee, and governance-related activities.

Prepare board packets, presentations, reports, and briefing materials.

Manage board communications, scheduling, meeting logistics, and follow-up.

Ensure governance deadlines, reporting requirements, and deliverables are completed accurately and on time.

Maintain board records and support effective communication between the CEO and Board leadership.

Executive Communications

Draft, edit, and manage executive communications, including emails, speeches, presentations, reports, correspondence, and talking points.

Coordinate communications on behalf of the CEO with staff, board members, funders, elected officials, and community partners.

Ensure communications reflect organizational priorities, executive intent, and SEI's values and voice.

Organize, synthesize, and present information needed to support executive decision-making.

Leverage Microsoft 365, AI-enabled tools, and technology platforms to improve communication, organization, and efficiency.

Stakeholder & Relationship Management

Serve as a professional representative of the CEO's office with community partners, funders, elected officials, organizational leaders, and other key stakeholders.

Coordinate meetings, relationship management activities, and follow-up on behalf of the CEO.

Build and maintain productive relationships that advance organizational goals and community partnerships.

Manage logistics and coordination for CEO participation in meetings, events, speaking engagements, and external functions.

Maintain highly confidential information and exercise discretion, professionalism, and sound judgment in all interactions.

Qualifications

Minimum 5 years of experience as an Executive Assistant or related role.

Demonstrated success supporting senior executives or organizational leaders.

Experience coordinating board activities, governance processes, or executive-level meetings.

Exceptional writing, editing, and presentation development skills.

Strong project management and organizational leadership abilities.

Experience leveraging Microsoft 365, AI-enabled tools, and workflow technology to increase efficiency.

Ability to exercise sound judgment and make independent decisions in a fast-paced environment.

Proven ability to manage multiple tasks simultaneously

Ability to prioritize effectively in a fast-paced environment

Excellent communication, interpersonal, and organizational skills.

Strong attention to detail and ability to maintain accuracy.

Ability to learn and adapt to new technologies quickly, including taking concepts- written or verbal and turn it into smart and concise documents (Word, Canva, Excel).

Discretion and professionalism essential.

Must have excellent presentation skills to include individual, small and large group formats.

Ability to work independently.

Must be able to work under pressure.

Ability to remain solution-focused and respective in all interactions with staff.

Advanced computer experience, including M365.

Ability to analyze, interpret and summarize data, trends and statistics.

Self Enhancement, Inc. (SEI) was established in 1981, by Tony Hopson, Sr., a lifelong North Portland resident and community leader. It began as a one-week summer basketball camp aimed at providing a positive alternative for African American teens living in an area of Portland that was leaving them behind.

By 1989, SEI had grown into a year-round program providing academic support and comprehensive wraparound services for African American students and their families. In 1997, SEI opened the Center for Self Enhancement, which continues to serve as a safe haven for thousands of children and is the hub of SEI’s work. Today, SEI is a comprehensive, one-stop resource for youth and families, primarily African Americans and others living in poverty or seeking culturally responsive services. It is also one of the city’s leading multi-service organizations, providing thousands of youth, families, and adults with a wide array of education and social services on an annual basis.
