Job Description

The Transportation Customer Service Representative is responsible for providing administrative and operational support to the Transportation Manager and Dispatchers. This position will assist with the daily flow of information, order processing, inventory reporting, communication, and documentation necessary to support an efficient and organized Transportation Department.

The Transportation CSR will work closely with the Transportation Manager, Dispatchers, Division personnel, drivers, and other departments to help ensure transportation orders and related information are processed accurately and timely.

Key Responsibilities:

Team:

  • Promote a positive work environment founded upon Professionalism, Consistency, Respect, and Improvement.
  • Maintain a team-oriented approach and assist the Transportation Manager and Dispatchers with daily departmental needs.
  • Build and maintain positive working relationships with Division Managers, CSRs, drivers, and other departments.
  • Promote clear and consistent communication between the Transportation Department and Divisions.
  • Assist with maintaining consistent transportation procedures and documentation.

Transportation & Operations Responsibilities:

  • Review inventory information for completeness and communicate missing or unusual readings to the appropriate personnel.
  • Enter transportation and fuel delivery orders accurately and timely.
  • Verify that necessary order information has been received before orders are processed.
  • Assist the Transportation Manager and Dispatchers with maintaining and updating open transportation orders.
  • Communicate order information, changes, delivery status, and other relevant information between Dispatch, Divisions, and appropriate personnel.
  • Assist Dispatchers with routine communications to drivers as directed.
  • Help track outstanding or incomplete orders and follow up with the appropriate Division or department when additional information is needed.
  • Assist with maintaining accurate records of loads, deliveries, inventory information, and transportation activity.
  • Provide general administrative support to the Transportation Manager and Dispatchers as needed.

Documentation & Recordkeeping:

  • Organize, scan, and file transportation paperwork and supporting documentation.
  • Review incoming paperwork for completeness and route it to the appropriate person or department.
  • Maintain organized electronic and physical transportation records.
  • Assist with identifying missing documentation and following up with the appropriate personnel.
  • Help ensure transportation records are maintained consistently and can be easily retrieved when needed.

Communication & Customer Service:

  • Serve as an additional point of communication between the Transportation Department and company Divisions.
  • Respond to routine questions regarding transportation orders and delivery status or direct questions to the appropriate Dispatcher or Transportation Manager.
  • Maintain professional and timely communication with internal and external customers.
  • Support a “customer first” culture while balancing customer needs with transportation efficiency and operational requirements.
  • Escalate delivery issues, inventory concerns, order discrepancies, or other operational problems to the Transportation Manager or Dispatcher as appropriate.

Qualifications:

  • High school diploma or equivalent preferred.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Strong attention to detail and commitment to accurate data entry.
  • Proficiency with computers and company software systems.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Ability to communicate effectively with drivers, Dispatchers, Managers, CSRs, and other departments.
  • Ability to work independently while functioning as part of the Transportation team
