Who we're looking for
We are looking for an organised, proactive and collaborative Business Management and Executive Assistant to support the effective running of Schroders’ Luxembourg management company and its European branches.
This is a varied role combining executive coordination, business management support, partner engagement, presentation preparation and communication activities. The successful candidate will work closely with the executive leadership team, local senior management, Business Management colleagues and collaborators across Luxembourg, EMEA and Group functions.
The role would suit someone who enjoys working in a fast-paced, international environment. They can prioritize tasks confidentially and professionally. They take pride in producing clear, high-quality work.
What you’ll do
- Provide proactive coordination and administrative support to the CEO Office and senior management, including diary coordination, travel arrangements and expense claims, meeting preparation, follow-ups, action tracking and stakeholder reminders
- Prepare and quality-check presentations, briefing notes, meeting packs, speaking points and internal communications for senior leadership meetings, town halls and staff events
- Support the Business Management team with governance forums, management information, reporting, dashboards, trackers and project coordination
- Coordinate inputs from different teams, follow up diplomatically on actions and consolidate information into clear, concise outputs
- Assist with planning and organising meetings, visits, workshops, town halls and internal initiatives
- Conduct research on business, regulatory, operational or market topics and prepare concise summaries for the intended audience
- Handle confidential and sensitive information with discretion and sound judgement
The knowledge, qualifications and experience you need
- 4-5 years experience in executive assistance, business coordination, office management, project support, financial services, asset management, governance or a regulated environment is required
- A university degree is welcome but not essential; equivalent experience, strong organisational discipline, sound judgement and the ability to learn quickly are equally valuable
- Relevant education in business administration, management, finance, communications, legal, governance or another related field is advantageous
- Experience engaging with senior collaborators and operating within an international organisation is encouraged
- Excellent written and verbal communication skills in English; additional European languages would be helpful
- Strong Microsoft Office skills, especially PowerPoint, Word, Outlook and Excel, and exploring and integrating the use of AI tools
