Position Summary
Westminster University Athletics is seeking a motivated and detail-oriented Athletics Facilities & Rentals Intern to support the growth and management of external facility rentals. This role combines sales, operations, and event coordination, providing hands-on experience in revenue generation and athletic facility management.
The intern will actively identify and secure rental opportunities while coordinating logistics to ensure successful execution of all facility rentals.
Key Responsibilities
Sales & Business Development
- Identify and prospect potential clients (youth sports organizations, camps, leagues, community groups, and private events)
- Conduct outreach via email, phone, and in-person networking
- Assist in developing pricing strategies and promotional materials
- Track leads, inquiries, and conversions
Rental Coordination & Operations
- Manage the scheduling of athletic facilities, ensuring accurate and up-to-date availability
- Coordinate with internal staff to avoid conflicts with team practices, competitions, and campus events
- Serve as the primary point of contact for rental clients
- Understand and communicate ADA and logistics
Event & Facility Management
- Oversee rentals on-site, including opening and closing facilities
- Implement and manage indoor soccer leagues
- Ensure spaces are properly set up and returned to standard after use
- Monitor and manage university equipment
- Identify and communicate facilities that require maintenance
- Monitor compliance with facility policies and safety procedures
- Coordinate with custodial, facilities, and security teams as needed
Administrative Duties
- Prepare and distribute rental contracts and agreements
- Maintain organized records of bookings, payments, and client communications
- Assist with invoicing and basic financial tracking
- Provide post-event follow-up and support client retention efforts
Qualifications
Required:
- Current undergraduate or graduate student (business, sports management, communications, or related field preferred)
- Strong organizational and time management skills
- Excellent interpersonal and communication abilities
- Self-motivated with an interest in sales, events, or athletics operations
- Current First Aid & CPR certifications (paid for by the athletics department)
Preferred:
- Previous experience in event planning, customer service, or sales
- Interest in sports business or facility management
- Ability to work evenings and weekends as needed

- Hands-on experience in sales and revenue generation within collegiate athletics
- Exposure to facility and event operations
- Development of professional communication and client management skills
- Understanding of contract processes and scheduling systems
Work Environment & Expectations
- Flexible schedule based on academic commitments
- Evening and weekend hours required for events and rentals
- Combination of office work and on-site facility supervision
Compensation
- Hourly wage
- Academic credits to fulfill internship requirement
