About the Role:
The qualified Institutional Advancement (IA) Office Coordinator should be a highly motivated professional ready to join a dedicated team focused on Westminster University's fundraising and engagement aspirations. As Westminster University is in the beginning stage of a comprehensive fundraising campaign, the IA Office Coordinator should possess good oral and written communication skills and the ability to stay upbeat in a dynamic setting.
The Institutional Advancement Office Coordinator will serve as the Institutional Advancement Office’s front door, greeting all visitors and inquiries with enthusiasm and the persistence needed to ensure that donor follow-up and alumni queries are successfully resolved. The ability to work with a deadline, function independently as required, and handle a variety of pressing tasks for various department members is necessary. Exceptional organizational skills and attention to detail are a must. A genuine enjoyment of working with a diverse constituent base, that includes campus partners, alumni, donors, and friends, is essential.

- Strong interpersonal skills and ability to initiate communication with members of Westminster University’s community
- Good written and verbal communication skills
- Proven ability to work in a team environment
- Strong organizational skills and attention to detail
- Excellent multitasking and time management skills; ability to be self-motivated to make progress on goals, projects, and be accountable.
- Professionalism, maturity, and an ability to maintain confidentiality
Preferred Qualifications:
- Bachelor's Degree
Essential Duties and Responsibilities:
Reporting to the Vice President of Institutional Advancement, the Institutional Advancement Office Coordinator will:
- Serve as the welcoming presence and host to all campus visitors, including alumni, donors, and friends. Handle all incoming calls & emails to the Institutional Advancement office, manage office orders, and assist with budgetary tracking for the department.
- Coordinate assigned communication and programming across the department to ensure that members of the Advancement team and volunteers are kept appraised of strategy, schedules, and upcoming tasks.
- Assist in support of campaign communications and proposal development.
- Campaign projects will be assigned as determined by the Vice President and directors of the IA Department.
- Maintain clean database records and updated constituent information, including gift tracking and reporting, including a record of a daily gift log and execution of a newly coordinated acknowledgement process.
- Assist with event planning and execution for Institutional Advancement and Campaign events on and off campus, including invitations, scheduling, marketing, data/analytics, and follow-up.
- Maintain a calendar of all Institutional Advancement and Campaign activities, including meetings, programming, and marketing/outreach efforts.
