Job Description

Position Summary

The Sr. Document Production professional is responsible for delivering high-quality document production and governance support services within Corporate Secretariat Services. This position serves as a senior-level individual contributor and trusted client-facing resource, providing advanced document formatting, proofreading, quality assurance, version control, and executive support for governance-related materials.

The role requires exceptional attention to detail, advanced Microsoft Office capabilities, and the ability to manage multiple priorities in a fast-paced, deadline-driven financial services environment. The individual will partner closely with client stakeholders and internal service teams to ensure consistent, accurate, and timely delivery of critical business materials.

Essential Duties & Responsibilities

Document Production & Quality Management

  • Produce, revise, edit, format, and quality-check complex documents, presentations, reports, board materials, and executive communications.
  • Ensure all deliverables meet established quality standards, formatting requirements, and brand guidelines.
  • Perform advanced proofreading, document comparison, version control, and quality assurance activities.
  • Manage confidential and highly sensitive materials with discretion and accuracy.

Governance & Executive Support

  • Support governance and board-related workflows, including preparation, compilation, organization, and distribution of meeting materials.
  • Assist with agenda packages, committee materials, approval documentation, and supporting records.
  • Ensure governance documentation is accurate, complete, and distributed within required timelines.
  • Maintain organized electronic and physical filing systems in accordance with established procedures.

Client Service & Stakeholder Engagement

  • Serve as a trusted point of contact for document production requests and service-related inquiries.
  • Build effective working relationships with client stakeholders and business partners.
  • Respond to urgent requests and changing priorities while maintaining service excellence.
  • Communicate proactively regarding project status, deadlines, and potential risks.

Process Improvement & Operational Support

  • Identify opportunities to improve workflows, efficiency, quality controls, and service delivery.
  • Recommend and support implementation of standardized templates, procedures, and best practices.
  • Assist with operational reporting, production tracking, and service metrics.
  • Support adoption and utilization of document technologies and productivity tools.

Team Collaboration

  • Share knowledge and best practices with team members.
  • Support cross-training initiatives and operational continuity efforts.
  • Act as a senior resource for complex production requests and problem resolution.

Qualifications

Required Qualifications

  • Bachelor's degree or equivalent combination of education and experience.
  • Minimum 5 years of experience in document production, word processing, governance support, legal support, executive support, or related professional services environment.
  • Advanced proficiency in Microsoft Office Suite, including Word, PowerPoint, Excel, and Outlook.
  • Experience with Adobe Acrobat for PDF creation, editing, document assembly, bookmarking, redaction, and document management.
  • Strong proofreading, editing, grammar, formatting, and document quality control skills.
  • Experience supporting senior executives, governance functions, or client-facing business operations.
  • Outstanding written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Strong analytical, organizational, and problem-solving abilities.
  • Demonstrated ability to handle confidential and sensitive information.

Preferred Qualifications

  • Experience supporting banking, financial services, legal, or professional services organizations.
  • Experience working with board, committee, or governance materials.
  • Familiarity with document management systems, workflow applications, and collaboration platforms.
  • Continuous improvement or process optimization experience.

Additional Information

The salary rate for this role at the noted RRD location is $36.50 / hour. Starting pay decisions are determined based on multiple factors including but not limited to relevant education, qualifications, skills, experience, certifications, proficiency, performance, shift, location, and other business needs. Typically, roles follow step progressions to a target rate or set increments over time. Depending on the role, in addition to the hourly rate of pay, the total compensation package may also include overtime, shift differential, call-in, and/or stand-by pay.
