The Real Estate Coordinator provides administrative, financial, and operational support to the Real Estate team, ensuring the smooth execution of lease-related, payment, reporting, and coordination activities across the Italian store portfolio.

This role is primarily focused on administrative and financial processes, including lease documentation, payment coordination, purchase orders, invoice control, reporting, and system updates. The Real Estate Coordinator also supports the team in store opening processes, and communication with internal stakeholders and external parties such as landlords, notaries, lawyers, and financial advisors.

Key Responsibilities

Administrative and Financial Coordination

  • Manage and coordinate administrative and financial activities related to the Italian real estate portfolio.
  • Prepare and follow up on manual payments, purchase orders, supplier activation, and related financial documentation.
  • Review, monitor, and approve rent invoices, service charges, turnover rent, and other lease-related costs.
  • Coordinate with Finance on annual declarations and financial obligations linked to lease agreements.
  • Support the preparation and monitoring of forecasts and other real estate-related budget items.
  • Ensure compliance with contractual payment obligations, including deposits, bank guarantees, and rent-related commitments.

Lease Administration and Documentation

  • Contribute to the preparation of commercial LOIs (Letters of Intent), business plans, and related presentation materials.
  • Maintain accurate and up-to-date lease records in internal systems, shared folders, and real estate management tools.

Systems and Data Management

  • Update and maintain real estate data in systems and other relevant platforms.
  • Ensure accuracy and completeness of all lease, payment, supplier, and opening-related data.
  • Track opportunities received from brokers, ensuring proper recording and visibility within the team.

Operational Support to Store Openings and Portfolio Activities

  • Support the coordination of lease-related activities connected to new openings, renewals, break options, relocations, and storage solutions.

Reporting and Presentations

  • Prepare regular reports, analyses, and presentations to support decision-making within the Real Estate team.

Qualifiche

Your Profile

  • Degree in Business Administration or Real Estate, and/or equivalent training in Property Law;
  • Professional experience, ideally in commercial leasing or real estate back office;
  • Strong communication skills in both Italian and English (written and spoken);
  • A digital mindset with a strong affinity for data, systems (databases), and excellent MS Office skills (Excel + Powerpoint;)
  • Characterized by structure, diligence, and independence, with a keen eye for detail;
  • Strong analytical skills;
  • Proficient in administrative tasks, including contract management, planning and coordinating shop openings, and managing database systems.

  • The gross annual salary will be determined based on the candidate’s experience and skills, within a salary range of €28.472 to €36.820
