Position Type: Seasonal full-time, cross-functional support role

Department Scope: Private Lessons, Resort Tours, Guest Services and Operational Support

The Role:

The Hakuba Guest Services & Operations Assistant supports the daily guest service and operational delivery of Rhythm Rides' operation in Hakuba.

The role supports guests from enquiry through to lesson delivery, combining accurate bookings and communication with practical support for lesson line-up, transport, vehicles, lift tickets and day-of logistics.

The Hakuba Guest Services & Operations Assistant is accountable for:

  • Friendly, accurate and efficient guest service
  • Accurate bookings and guest information
  • Smooth day-of lesson delivery and guest transitions
  • Reliable transport, vehicle and lift-ticket support
  • Accurate records and timely escalation

Key Responsibilities and Duties:

Guest Services

  • Respond to private lesson and resort-tour enquiries by email, phone, booking system and in person.
  • Understand guest goals and ability and recommend suitable products within approved guidelines.
  • Process bookings, payments, changes and guest records accurately.
  • Communicate guest goals and special requirements clearly to instructors and operations.
  • Resolve routine guest questions and escalate complaints, refunds or sensitive matters when required.

Day-of Lesson and Operations Support

  • Review daily bookings and support guest check-in and lesson line-up so lessons start on time.
  • Help locate guests or instructors, communicate delays and support approved changes during the day.
  • Transport guests and instructors to approved lesson start locations when required.
  • Support vehicle allocation, key handovers and basic readiness, reporting maintenance or damage concerns.
  • Prepare, issue and track lift tickets or passes in line with approved procedures.
  • Support meeting points, guest transitions and lesson logistics.
  • Report incidents, hazards and significant operational concerns promptly.

Administration and Team Support

  • Maintain accurate booking notes, guest records and daily operational information.
  • Provide general administration support including data entry, filing and document preparation.
  • Support seasonal preparation, peak periods and close-down.
  • Share recurring guest or operational issues with the Hakuba Location Manager and relevant teams.

Role Boundaries

  • The Hakuba Location Manager owns the overall operation and significant guest and operational decisions.
  • The Assistant Manager supports instructor operations and lesson allocation.
  • The Reservations Manager owns Guest Services procedures, standards and systems.
  • The Resort Coordinator - Hakuba owns local resort liaison and bilingual support.
  • This role does not supervise staff, independently allocate instructors, approve significant refunds, set policy or make significant operational decisions.

  • Accurate and responsive Guest Services
  • Smooth lesson line-up and on-time lesson starts
  • Reliable transport, vehicle and lift-ticket support
  • Professional handling and escalation of guest concerns
  • Strong teamwork across Guest Services and lesson operations



What you need to succeed:

Qualifications and Experience

  • Experience in guest services, administration, tourism, hospitality or resort operations.
  • Good understanding of skiing and snowboarding progression and lesson options.
  • Experience with booking or administrative systems is preferred.
  • Knowledge of Hakuba resorts and the local area is preferred.
  • Valid Japanese or recognised international driver licence required; winter-driving experience is preferred.

Skills and Attributes

  • Friendly, confident and guest-focused communication.
  • Strong organisation, attention to detail and reliable follow-through.
  • Ability to manage competing priorities and remain calm under pressure.
  • Comfortable using booking systems and Google Workspace.
  • Flexible, collaborative and willing to support both guest service and operational tasks.
