About the Role
As an integral member of our Patient Support Center team, the RX Refill Specialist plays a key role in ensuring patients have seamless access to their medications and virtual care services. You’ll work closely with medical providers, clinical staff, and our Telephonic Triage Team to support medication refill requests, prior authorizations, and patient communication—all while delivering high‑quality, patient‑centered care.
What You’ll Do
Operational Excellence
- Rotate between on‑phone, off‑phone, and live‑chat communication channels.
- Process prescription refill requests in real time via incoming calls, live chat, and electronic refill transmissions within the Athena EMR.
- Complete prescription prior authorizations and submit them to insurers for approval.
- Follow established refill protocols to ensure patient safety and accuracy.
- Communicate with provider offices, pharmacies, and insurance companies to support timely medication access.
- Document all interactions accurately and thoroughly in the EMR.
- Use clinical tools—often as an authorized provider delegate—to fulfill patient requests.
- Authorize courtesy refills when appropriate based on protocol and patient needs.
- Notify pharmacies when a patient requires a “Return to Office” visit for future refills.
- Assist with scheduling in‑office or telemedicine appointments as needed.
Collaboration & Trust
- Partner with providers and care teams to ensure all medication requests are addressed promptly and according to clinical guidelines.
- Support clinical staff by reviewing refill inboxes and maintaining minimal pending refill volume by end of each business day.
Qualifications
Required
- High school diploma or equivalent.
- Completion of an accredited Pharmacy Technician program or formal Medical Assistant training.
- Experience using EMR systems (AthenaHealth experience is a plus).
Preferred
- Certified Medical Assistant (CMA) or Certified Pharmacy Technician (CPhT).
- 1+ year of experience as a Pharmacy Technician or Medical Assistant focused on prescription refills, patient education, or clinic workflows.
- Experience handling high call volumes or working in a call center environment.
- Flexibility to work varied shifts, including some weekends.
This position will work in the AZ time zone
