The Research Foundation for Mental Hygiene is seeking a qualified candidate to fill a Administrator position. We are seeking a detail-oriented and organized Accounts Payable & Purchasing Assistant to join our Business Office team. In this role, you will support the day-to-day accounts payable and purchasing functions by ensuring purchase requests, vendor transactions, and a high volume of online orders are processed accurately, efficiently, and on time. The ideal candidate is dependable, proactive, and able to work independently while maintaining a high level of accuracy and attention to detail in a fast-paced environment.

Duties and Responsibilities:

  • Review and process purchasing requests in our our internal system (TIQR) for accuracy and completeness.
  • Enter purchase requests into Oracle.
  • Ensure vendors and staff receive copies of signed purchase orders.
  • Purchase an increasing volume of items online through Amazon and other approved vendors.
  • Obtain vendor quotes for equipment purchases as needed.
  • Maintain accurate purchasing records and documentation in TIQR.
  • Collaborate with vendors and internal departments to facilitate purchasing activities in TIQR.
  • Perform other administrative and business office duties as assigned.

Minimum Qualifications:

  • Bachelor's degree or equivalent combination of relevant education and experience preferred.
  • At least (2-5) years of administrative experience in a medium-to-large organization.

Preferred Qualifications:

  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office and Excel. Experience with Oracle and/or working in an academic or research environment is preferred.
  • Experience with accounts payable, purchasing, or administrative support is preferred.
  • Ability to manage multiple priorities and meet deadlines. - Professional customer service skills when working with vendors and staff.
  • Proven ability to manage multiple priorities, work effectively in a fast-paced office environment, and demonstrate strong organizational skills with exceptional attention to detail.

The Research Foundation for Mental Hygiene, Inc (RFMH) is a private, not-for-profit membership corporation organized in 1952, for the purpose of assisting and enhancing the research and training objectives of the New York State Department of Mental Hygiene and its component agencies; the Office of Mental Health (OMH), the Office for People with Developmental Disabilities (OPWDD) and the Office of Alcoholism and Substance Abuse Services (OASAS).

Through an agreement with NYS, RFMH has been designated as the organization responsible for administering and directing the conduct of all sponsored research programs carried out by scientists at Department of Mental Hygiene institutes or facilities. Sponsored research activities are carried out at the central offices of the Department as well as at the Departments at the three research institutes.

RFMH provides an organizational bridge between the scientist and those wishing to support his or her work, be it the Federal Government, State Government, Individuals, Foundations or, as is frequently the case, a combination of multiple sponsors. RFMH provides the Department of Mental Hygiene and their scientists with the independence and administrative flexibility to respond quickly to the special demands of sponsored programs in a manner that facilitates their scientific or technical execution. These are needs that could not be as easily accommodated through state processes.
