We are seeking a detail-oriented Lubes Administrator to join our team. This position plays a critical role in supporting inventory management, purchasing, customer service, and daily office operations. The ideal candidate is highly organized, comfortable working in a fast-paced environment, and has strong administrative and communication skills.

What You'll Do

  • Perform data entry using SAP and Microsoft Excel
  • Manage a shared department email inbox and respond to inquiries promptly
  • Answer incoming telephone calls professionally
  • Monitor lubricant inventory, including stock transfer orders (STOs) and backorders
  • Create STOs to transfer inventory between company locations
  • Coordinate deliveries with company locations
  • Communicate with sales representatives regarding customer requirements
  • Work closely with warehouse personnel to confirm product availability
  • Notify will-call customers when backordered products arrive
  • Assist with inventory transactions, including goods issues and goods receipts
  • Support inventory cycle counts by preparing count sheets, performing physical counts, entering results, and reconciling discrepancies
  • Review inventory reports to identify replenishment needs
  • Order warehouse and office supplies
  • Assist with inventory audits and documentation
  • Help resolve open order reports
  • Complete other administrative and operational duties as assigned

What We're Looking For

Required

  • Minimum of 3 years of office administration or administrative support experience
  • Stable employment history
  • Strong written and verbal communication skills
  • Advanced proficiency with Microsoft Outlook, Excel, and Word
  • Strong math aptitude and accurate 10-key data entry skills
  • Professional demeanor with excellent organizational skills
  • Must be able to pass a background screening
  • Must reside within a reasonable commuting distance of Donaldsonville, LA

Preferred

  • Experience using SAP
  • Purchasing or procurement experience (2+ years preferred)
  • Experience with lubricants or petroleum products
  • Experience in the lubricant or transportation industry
