Job description:

We are seeking an energetic, proactive, and customer-oriented Office Receptionist to support the daily operations of our executive suites at Red Tail Commercial. This is an exciting opportunity to play a pivotal role in ensuring our tenants experience top-tier service while supporting the overall success and smooth operation of our building. Key Responsibilities:

  • Leasing and Occupancy Support: Overall responsibility for the leasing and tenancy management of the executive suites to include but not limited to implementation and negotiation of new leases and renewals, leasing and sales strategies, marketing and promoting of the executive suites, and lead generation.
  • Building Operations: Take ownership of day-to-day operations of the executive suites, ensuring efficient functioning of the property while maintaining the highest standards.
  • Financial Management: Support in managing rent collection and financial records, including assisting with the annual budget and monthly financial reports.
  • Vendor and Facility Management: Collaborate with the Building Manager to oversee vendor services and contracts, ensuring timely and efficient service delivery.
  • Operational Excellence: Ensure work orders are promptly addressed, coordinate repairs, and resolve operational issues efficiently.
  • Customer Experience: Manage tenant services such as deliveries, parking validations, replenishing essential supplies, and scheduling meeting rooms while maintaining an exceptional level of service.
  • Leadership and Continuous Improvement: Identify opportunities to improve building operations, tenant services, and overall workflow to increase efficiency and satisfaction.

Essential Functions:

  • Strong Customer Service Skills: A friendly and approachable attitude with a focus on providing excellent service to our tenants.
  • Leadership Ability: Strong decision-making skills and the ability to lead by example, fostering a positive and collaborative work environment.
  • Organizational Expertise: Ability to manage competing priorities, streamline processes, and adapt quickly to changing needs.
  • Financial Insight: Experience with financial oversight, including rent collection, accounts receivable, and budget management.
  • Problem-Solving Mindset: The ability to think quickly on your feet and resolve challenges in a timely and effective manner.

Physical Demands & Special Requirements:

  • This full-time position requires regular physical activity, including walking, standing, sitting, and reaching, with occasional climbing and the ability to lift or move objects as needed. Vision requirements include the ability to use close vision, distance vision, and adjust focus as necessary. The role also requires the ability to detect auditory and/or visual alarms.

Qualifications:

  • A minimum of 2 years’ experience in managing, leasing, and marketing executive suites is required.

Computer Skills:

  • Basic to intermediate computer and Internet knowledge
  • Basic to intermediate knowledge of MS Word, Excel, and Outlook

Learning and Development:

  • Maintain a commitment to ongoing professional development and career growth through our company’s continuing education programs.

Education:

  • High school diploma or equivalent required; advanced education or certifications are a plus.
  • Accurately perform intermediate mathematical functions and use all on-site resident management software functions
