About the Opportunity 

 

The excitement is building on the Gold Coast, as the 2032 Olympic Games fast approaches. RACV Royal Pines Resort is entering an exciting new chapter, with significant resort development projects underway and we're committed to delivering exceptional experiences for our guests.

 

We're seeking a highly organised and proactive Maintenance Administrator to support our Maintenance team and play a key role in the day-to-day coordination of maintenance activities across the resort. This is an opportunity for an experienced administrator who enjoys working in a fast-paced hotel environment, building strong relationships with contractors and suppliers, and ensuring maintenance operations run efficiently behind the scenes.

Reporting to the Maintenance Manager, you will provide administrative, financial and operational support to the Maintenance Department, ensuring the timely coordination of work orders, contractor activities, purchasing, invoicing and reporting. You will work closely with other resort departments and external service providers to support preventative maintenance programs, capital works and property improvement projects. Your key responsibilities for the role will include:

 

  • Coordinate work orders, purchase orders, supplier quotes and contractor engagements
  • Manage maintenance databases, contractor registers and departmental records
  • Process invoices, support accounts payable activities and resolve supplier queries
  • Assist with preventative maintenance programs, room refurbishment projects and capital works administration
  • Coordinate contractor onboarding, inductions and compliance documentation
  • Prepare month-end reporting, financial analysis and business reports
  • Liaise with internal stakeholders and external suppliers to ensure works are completed efficiently and with minimal operational impact
  • Support HSW, environmental and compliance initiatives

 

What you’ll need to be successful 

 

  • Demonstrated administration experience in maintenance, facilities, property, hotel/hospitality, construction or a similar operational environment
  • Experience in accounts payable, supplier management, invoice processing and contract administration
  • Proficient in MS Office applications, incl. Excel to analyse data and produce reports, and systems capability using PMS - Opera, maintenance - Inform, finance - SAP, and HSW - Donsafe 
  • Excellent organisational, attention to detail and time management skills
  • A proactive approach with the ability to work independently and take initiative
  • Strong communication and stakeholder management skills
  • Proven ability to manage competing priorities and problem solving
  • A collaborative approach with a genuine interest in supporting people, customer focus and teamwork

  • Permanent Full-time – Monday-Friday 38 hours week

  • $69,500 remuneration package including 12% super
