About the role
We are seeking a dedicated and highly organized Administrative Assistant to join our team in New York. In this full-time position, you will provide crucial support to ensure the efficient operation of our office and enhance productivity across various departments.
Key responsibilities
- Maintain and manage schedules, appointments, and travel arrangements for team members, ensuring optimal use of time and resources.
- Prepare and coordinate internal and external communications, including emails, reports, and presentations, to facilitate information flow within the organization.
- Assist with the organization of meetings, including preparing agendas, taking minutes, and following up on action items to ensure accountability.
- Handle incoming inquiries, directing them to the appropriate personnel and ensuring timely responses to client and stakeholder requests.
- Manage office supplies and equipment, ensuring that the workspace is well stocked and that resources are readily available for team members.
- Support project coordination by maintaining timelines, tracking progress, and assisting in the organization of project-related documentation.
Requirements
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with various office software applications.
- Strong organizational skills with exceptional attention to detail, allowing for the efficient handling of multiple tasks simultaneously.
- Excellent verbal and written communication skills to ensure clarity and professionalism in all interactions.
- Ability to work independently as well as collaboratively within a team environment, adapting to changing priorities as needed.
- Basic financial acumen to assist with budget tracking and expense reporting, ensuring financial documentation is accurate and up-to-date.
Nice to have
- Experience with customer relationship management (CRM) software or project management tools to enhance workflow efficiency.
- Familiarity with office management processes, including digital filing systems and document management.
- A degree in business administration or a related field that can provide a foundation for effective operational support.
