About the opportunity

As a Executive Assistant, Shared Services, you will provide administrative and operational support to the Shared Services Center, ensuring the efficient coordination of activities, communications, and business processes across multiple teams and stakeholders. Working in a fast-paced, multicultural environment, you will support leadership and team operations through meeting coordination, travel management, reporting, documentation, and event planning. This role requires strong organizational skills, attention to detail, discretion, and the ability to collaborate effectively across different management levels while maintaining high standards of confidentiality.

Your tasks include

  • Act as administrative focal point for center priorities (submission of reports, coordination of deliverables, consolidation of output from multiple teams and keeping track of deadlines)
  • Take the lead in coordinating with various teams in the center’s day-to-day activities and be capable of escalating risks or delays to management
  • Maintain ownership of key reports and documents such as project documents, center dashboards to help center leadership in audits, compliance requirements and readiness to access actionable data
  • Keep track of action items in key meetings, prepare executive summaries and as needed ensure timely follow-up of actions
  • Take ownership of the internal and external coordination for executing center events
  • Assist in scheduling internal and external meetings and managing complex cross functional calendars of employees within and outside the center
  • Facilitate creation of internal communications ensuring timeliness and relevance
  • Consolidate and organize travel plans / agenda from center visitors and center employees
  • Maintain a high level of confidentiality on sensitive matters related to the center and relevant projects that the Center Head is working with

Your profile

  • At least 5 years of experience supporting senior leadership in a professional environment.
  • Experience working in a multicultural and cross-functional environment.
  • Ability to thrive in a fast-paced and dynamic workplace.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Strong verbal and written communication skills.
  • Effective team player with the ability to collaborate across different management levels.
  • Demonstrates a high level of professionalism, discretion, and confidentiality.
