Position Overview

Prismecs LLC is seeking an experienced Senior HR Generalist to provide hands-on HR leadership and support across the organization.

This position will serve as a trusted HR resource for employees, managers, and leadership while managing key functions throughout the employee lifecycle, including employee relations, recruiting, onboarding, performance management, HR policies and compliance, benefits and payroll coordination, HR systems, immigration and visa support, and employee engagement.

We are specifically seeking an HR professional who has strong hands-on experience with employee onboarding, employment eligibility documentation, I-9 compliance, immigration documentation, employment-based visa processes, and coordination with immigration counsel.

The ideal candidate should understand the steps, documentation, timelines, and follow-up required for employees working under various employment authorization and immigration categories.

This role requires someone who can work independently, establish scalable HR processes, maintain accurate documentation, and balance strategic HR guidance with day-to-day execution in a growing organization supporting employees and contractors across multiple locations.

Key Responsibilities

Employee Relations & Leadership Support

  • Serve as a primary HR point of contact for employees, managers, and company leadership.
  • Advise managers on employee relations, performance concerns, corrective actions, conflict resolution, and policy interpretation.
  • Conduct and document workplace investigations and recommend appropriate resolutions.
  • Coach managers on performance management, employee development, documentation, and difficult employee conversations.
  • Promote consistent and fair application of company policies and HR practices.
  • Handle confidential and sensitive employee matters with appropriate discretion.

Recruiting & Workforce Support

  • Support recruiting activities across technical, engineering, operations, sales, corporate, and project-based positions.
  • Partner with hiring managers to develop job descriptions and establish position requirements.
  • Screen candidates and coordinate interviews with hiring managers.
  • Coordinate offers, background checks, pre-employment requirements, and onboarding.
  • Maintain recruiting pipelines for current and upcoming projects.
  • Support workforce planning across multiple company locations and projects.
  • Develop relationships with recruiting agencies and other talent sources when necessary.

Immigration, Visa & Work Authorization Support

This is an important part of the position. Candidates should have direct experience supporting employment-based immigration and work authorization processes.

Responsibilities include:

  • Coordinate employment-based immigration matters in partnership with external immigration counsel.
  • Understand and support immigration processes involving TN, H-1B, L-1, employment authorization documents (EAD), permanent residency/green card sponsorship, and other applicable employment-based immigration categories.
  • Understand the documentation and internal steps required to begin an immigration or visa case.
  • Collect, review, organize, and maintain employee and company documents required for immigration filings.
  • Coordinate with employees to obtain passports, visas, I-94 records, employment authorization documents, educational credentials, employment records, and other required documentation.
  • Coordinate employer documentation requested by immigration counsel, including job information, employment verification information, company documentation, and supporting records.
  • Serve as the internal point of contact between employees, management, leadership, and external immigration counsel.
  • Track visa expiration dates, work authorization expiration dates, petition deadlines, renewal dates, case milestones, and required follow-up actions.
  • Establish and maintain a centralized immigration and work authorization tracker.
  • Maintain organized and confidential immigration files.
  • Assist with international employee onboarding and transfers.
  • Support leadership in understanding immigration timelines, sponsorship requirements, documentation requirements, costs, and potential workforce impacts.
  • Follow immigration cases from initiation through filing, approval, renewal, or completion.
  • Support employees transitioning between immigration or employment authorization statuses.
  • Maintain appropriate I-9 and employment eligibility documentation.
  • Monitor work authorization expiration dates and coordinate timely reverification when required.
  • Work with immigration counsel when specialized legal guidance is required.

This position does not provide legal immigration advice; however, the Senior HR Generalist must understand the HR-side processes, documentation, timelines, tracking requirements, and coordination necessary to successfully manage employment-based immigration cases.

Onboarding & Employee Lifecycle Management

  • Manage employee and contractor onboarding from offer acceptance through successful start.
  • Prepare and coordinate new-hire documentation.
  • Complete and maintain I-9 and employment eligibility documentation.
  • Verify that required employment and work authorization documentation is received and properly maintained.
  • Coordinate background checks and applicable pre-employment requirements.
  • Coordinate orientation, HRIS setup, payroll setup, benefits enrollment, and employee documentation.
  • Ensure employees receive required policies, agreements, and company information.
  • Manage employee changes including promotions, salary adjustments, transfers, employment status changes, and location changes.
  • Coordinate employee offboarding and separation documentation.
  • Maintain accurate and confidential personnel files.
  • Develop and maintain standardized onboarding and offboarding checklists and procedures.
  • Ensure onboarding requirements are consistently followed across company locations.

HR Policies & Compliance

  • Maintain and update HR policies, procedures, employee handbook, and related documentation.
  • Support compliance with applicable federal, state, and local employment requirements.
  • Maintain appropriate employee and contractor documentation.
  • Support I-9, employment eligibility, and work authorization compliance.
  • Monitor required employment documentation and expiration dates.
  • Partner with legal counsel and external HR resources when specialized employment or immigration guidance is required.
  • Maintain organized and audit-ready HR records.
  • Assist with HR compliance reviews and internal audits.

Performance Management

  • Manage and coordinate company performance review processes.
  • Establish consistent performance management timelines and documentation.
  • Assist managers with setting performance expectations and goals.
  • Support managers in providing employee feedback and documenting performance concerns.
  • Assist with development and administration of Performance Improvement Plans (PIPs).
  • Track performance reviews and ensure timely completion.
  • Support compensation, promotion, and employee development review processes.

Benefits, Payroll & HR Administration

  • Coordinate with payroll, Finance, and benefits providers to ensure accurate and timely employee administration.
  • Review employee changes affecting payroll and benefits.
  • Coordinate new-hire payroll setup and employee information.
  • Support benefits enrollment and annual open enrollment.
  • Respond to employee benefits and payroll-related questions.
  • Maintain accurate employee information in HRIS and payroll systems.
  • Coordinate payroll-related employee changes with Finance.
  • Assist with payroll and HR reporting.
  • Review employee records for completeness and accuracy.

HR Systems, Reporting & Process Improvement

  • Maintain accurate employee information within HRIS and other HR systems.
  • Develop HR dashboards and reports for company leadership.
  • Track headcount, recruiting activity, turnover, retention, performance reviews, immigration status, work authorization expirations, and workforce trends.
  • Establish HR calendars and trackers for critical deadlines.
  • Identify opportunities to automate and streamline HR processes.
  • Develop standardized HR workflows, templates, checklists, and documentation.
  • Improve HR processes as the organization continues to grow.
  • Maintain organized and accurate HR records across multiple company locations and projects.

Employee Engagement & Culture

  • Support programs designed to improve employee engagement and retention.
  • Coordinate employee communications and HR-related company initiatives.
  • Help develop HR programs that support Prismecs' culture and organizational growth.
  • Serve as an accessible and trusted HR resource for employees.
  • Maintain appropriate confidentiality and professional judgment when handling employee matters.


Requirements

Required Qualifications

  • Bachelor's degree in Human Resources, Business Administration, or a related field.
  • Approximately 10+ years of progressive Human Resources experience preferred.
  • Strong hands-on experience with employee relations and HR operations.
  • Strong experience managing employee onboarding and employment documentation.
  • Experience with employee investigations, corrective action, performance management, and HR compliance.
  • Experience with recruiting and talent acquisition.
  • Experience coordinating payroll, benefits, and HRIS administration.
  • Strong understanding of U.S. employment practices.
  • Working knowledge of I-9 requirements and employment eligibility verification.
  • Strong organizational and documentation skills.
  • Strong written and verbal communication skills.
  • Ability to work independently and manage multiple priorities.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Experience supporting employees across multiple locations.

Immigration Experience Required/Strongly Preferred

Preferred Qualifications

  • SHRM-CP, SHRM-SCP, PHR, SPHR, or similar HR certification.
  • Experience supporting engineering, energy, industrial, technical, field-service, or project-based organizations.
  • Experience working with both W-2 employees and independent contractors.
  • Experience supporting a geographically distributed workforce.
  • Experience implementing or improving HR processes within a growing organization.
  • Experience with HRIS, payroll, recruiting, and applicant-tracking systems.
