About this role
The Community Sr. Manager is responsible for managing the day-to-day operations and overall customer experience of the Company's co-working facilities, including Virtual Office Services, Shared Office Spaces, Co-working Memberships, Meeting Rooms, and Event Spaces. The role ensures high occupancy, exceptional customer service, strong community engagement, and revenue growth by acquiring new members, retaining existing clients, and maximizing the utilization of the Company's flexible workspace solutions.
As the primary representative of the co-working community, the Community Manager cultivates a professional and collaborative environment while building strong relationships with entrepreneurs, startups, SMEs, corporate clients, freelancers, and business partners.
Key Responsibilities
A. Community Management
- Serve as the primary point of contact for all members, tenants, virtual office clients, and guests.
- Foster a welcoming, collaborative, and engaging community environment.
- Build strong relationships with members to improve retention and satisfaction.
- Conduct regular engagement activities to strengthen the co-working community.
- Handle member concerns, complaints, and service requests promptly and professionally.
- Maintain a high level of customer satisfaction through proactive communication and excellent service delivery.
B. Virtual Office Management
- Manage the day-to-day operations of Virtual Office services.
- Process new Virtual Office applications and onboarding.
- Ensure timely handling of mail and package receiving, notifications, and forwarding.
- Coordinate meeting room reservations for Virtual Office clients.
- Ensure compliance with Company policies governing Virtual Office memberships.
- Maintain accurate records of Virtual Office clients, contracts, and renewals.
C. Shared Office and Co-working Operations
- Manage workspace allocation and occupancy.
- Oversee daily operations of Shared Offices, Hot Desks, Dedicated Desks, and Private Offices.
- Ensure workspaces are clean, functional, and ready for occupancy.
- Coordinate with housekeeping, maintenance, IT, and security teams to address operational concerns.
- Monitor workspace availability and optimize occupancy levels.
- Conduct facility walkthroughs to maintain premium workplace standards.
D. Membership Sales and Client Acquisition
- Promote and sell Co-working, Shared Office, Private Office, Meeting Room, and Virtual Office memberships.
- Conduct site tours for prospective clients.
- Respond to inquiries from walk-in clients, online leads, brokers, and corporate accounts.
- Prepare membership proposals, quotations, and service agreements.
- Follow up on sales leads to improve conversion rates.
- Achieve monthly occupancy and membership targets.
- Identify opportunities to upsell additional workspace solutions and business support services.
E. Event Management
- Market and promote the Company's event spaces to corporate and external clients.
- Coordinate inquiries, bookings, and event reservations.
- Plan and oversee the execution of seminars, networking events, product launches, workshops, and corporate meetings.
- Coordinate with clients regarding event requirements and logistics.
- Ensure event venues are prepared according to client specifications.
- Work closely with suppliers, caterers, and internal support teams during events.
- Conduct post-event evaluations and gather client feedback.
F. Business Development
- Develop partnerships with business organizations, startups, universities, chambers of commerce, and local communities.
- Identify opportunities to increase memberships and event bookings.
- Generate referrals through existing members and business networks.
- Recommend new programs and initiatives to increase occupancy and community engagement.
- Monitor market trends and competitor activities to identify growth opportunities.
G. Marketing and Community Engagement
- Organize networking events, learning sessions, wellness activities, and member appreciation programs.
- Collaborate with the Marketing Team in promoting events and workspace offerings.
- Assist in creating content for social media highlighting community activities and success stories.
- Encourage member participation in Company events and initiatives.
H. Administrative Responsibilities
- Maintain membership records and client databases.
- Monitor contract renewals and coordinate renewal discussions.
- Prepare weekly and monthly operational reports.
- Monitor occupancy rates, event bookings, and membership performance.
- Coordinate billing concerns with the Finance Department.
- Ensure compliance with Company policies and operational procedures.
QUALIFICATIONS
- Bachelor's degree in Business Administration, Marketing, Hospitality Management, Tourism, Real Estate Management, Communications, or a related field.
- At least 5-10 years of relevant experience in co-working spaces, serviced offices, commercial real estate, hospitality, customer success, property management, or business development.
- Proven experience in community management, client relationship management, membership sales, account management, and customer service, with a strong track record in client acquisition and retention.
- Demonstrated experience in managing co-working operations, including Virtual Offices, Shared Offices, Meeting Rooms, Event Spaces, and day-to-day facility operations.
- Strong business development, sales, and event management skills, with the ability to organize community events, conduct site tours, generate leads, negotiate contracts, and achieve occupancy and revenue targets.
- Excellent communication, interpersonal, problem-solving, and organizational skills, with proficiency in Microsoft Office, CRM systems, and digital collaboration tools.
