SUMMARY OVERVIEW

The Onboarding Specialist is responsible for coordinating all aspects of the new hire process to ensure a seamless and compliant onboarding experience. This role involves managing background checks, drug testing, and I-9 verification while maintaining accurate records and supporting a fast-paced operational environment. Strong attention to detail, organizational skills, and customer service orientation are essential for success in this position.

 

RESPONSIBILITIES

  • New Hire Processing: Initiate and monitor background checks, schedule drug tests, and complete I-9 verification for all new hires.
  • Compliance & Documentation: Maintain accurate digital and physical employee records to ensure compliance with company policies and regulatory requirements.
  • Candidate Support: Serve as the primary point of contact for new hires during the onboarding process, providing clear communication and guidance.
  • Workflow Management: Track onboarding progress and proactively address delays to ensure timely completion of all steps.
  • Collaboration: Work closely with recruiters, hiring managers, and other internal teams to facilitate a smooth transition for new employees.
  • Additional Duties: Perform any other tasks as assigned by management.

 

QUALIFICATIONS

  • Must be 18 years of age or older.
  • Eligible to work in the United States.
  • Strong communication skills in English (reading, writing, speaking).
  • Experience: Minimum 2 plus years in HR, recruitment coordination, or onboarding; experience in aviation or regulated industries preferred.
  • Regulatory Knowledge: Familiarity with TSA/FAA background check requirements and E-Verify protocols is a plus.
  • Attention to Detail: Ability to maintain accuracy in documentation and compliance processes.
  • Technical Skills: Proficiency in UKG and Microsoft Office Suite (Excel, Word, Outlook).

  • Specific vision abilities required for this job include: Close vision (clear vision at 20 inches or less); distance vision (clear vision at 20 feet or more); peripheral vision (ability to observe an area that can be seen up and down or to the left and right while eyes are fixed on a given point); depth perception (three-dimensional vision, ability to judge distances and spatial relationships); ability to adjust focus (ability to adjust the eye to bring an object into sharp focus)
