Role Overview
The Property Maintenance and Operations Coordinator will support the day-to-day maintenance, leasing administration, and operational coordination of commercial buildings within the Employer Group. The role is responsible for responding to property-related queries, coordinating service providers, supporting tenant and landlord communication, and helping ensure that properties remain safe, functional, and professionally managed. This potition is based in Bellville, Western Cape.
This position requires a highly organised individual who can manage multiple priorities, communicate clearly with different stakeholders, and follow maintenance and operational matters through to completion.
- Demonstrated experience in property administration, facilities coordination, property management, commercial leasing, maintenance coordination, or a similar operational role.
- Experience handling maintenance queries and coordinating contractors or service providers from quotation through to completion.
- Strong written and verbal communication skills, with the ability to communicate professionally with landlords, tenants, contractors, and other stakeholders.
- Demonstrated ability to manage multiple queries, deadlines, appointments, and follow-up actions in a structured manner.
- Experience requesting and comparing quotations and maintaining accurate supporting records.
- Proficiency with email, spreadsheets, document management, calendars, and general office administration systems.
- Strong attention to detail when preparing lease documentation, inspection records, maintenance logs, and stakeholder communication.
- A practical understanding of commercial property operations, maintenance processes, tenant communication, and lease administration.
- Ability to conduct property viewings and inspections professionally and document findings clearly.
- A valid driver’s licence and reliable access to transport may be required where travel between commercial properties forms part of the role.
- A relevant qualification in property studies, facilities management, business administration, operations, or a related field would be advantageous but is not essential where sufficient practical experience is demonstrated.
Key Responsibilities - Coordinate maintenance requests from initial report through to completion, including arranging access, monitoring progress, and confirming that work has been completed.
- Request, compare, and organise quotations from contractors and service providers in line with the required scope of work.
- Build and maintain a reliable contact database of contractors, suppliers, technicians, property professionals, and other relevant service providers.
- Maintain clear records of maintenance requests, quotations, approvals, contractor activity, inspections, tenant communication, and completed work.
- Coordinate communication between landlords and tenants regarding repairs, property access, maintenance responsibilities, lease-related matters, and operational updates.
- Arrange and conduct property viewings for prospective commercial tenants, ensuring that relevant property information is communicated accurately and professionally.
- Support routine, entry, exit, and follow-up property inspections, documenting findings and escalating maintenance or compliance concerns where required.
- Prepare, issue, track, and maintain lease agreements and related property documentation using approved templates and processes.
- Monitor open queries and maintenance matters, provide progress updates to relevant stakeholders, and follow up on outstanding actions.
