Role Overview
The Property Inspections and Maintenance Coordinator will support the physical condition, presentation, and day-to-day maintenance of commercial buildings. Based in Bellville, Western Cape, this field-focused role is responsible for conducting property inspections and viewings, assessing maintenance concerns, coordinating contractors, and following repair work through to completion.
The role requires a practical, organised individual who is comfortable travelling between properties, engaging with tenants and service providers, and maintaining accurate records of inspections and maintenance activity.
- Demonstrated experience in property maintenance, facilities coordination, building inspections, property management, or a similar role.
- Experience conducting property inspections and producing clear inspection reports.
- Experience coordinating contractors, technicians, or maintenance service providers.
- Demonstrated ability to assess maintenance concerns and obtain suitable quotations.
- Strong practical problem-solving skills and the ability to identify appropriate next steps.
- Professional communication skills when engaging with tenants, contractors, property representatives, and prospective occupants.
- Strong organisational skills and the ability to manage multiple property visits, maintenance matters, and deadlines.
- Attention to detail when recording property condition, maintenance activity, and completed work.
- Proficiency with email, spreadsheets, mobile communication tools, calendars, and document management systems.
- A valid driver’s licence and reliable access to transport for travel between commercial properties.
- The ability to work independently while providing regular updates on progress and outstanding actions.
- A relevant qualification in facilities management, property studies, building management, operations, or a related field would be advantageous.
Key Responsibilities - Conduct routine, entry, exit, and follow-up inspections at commercial properties.
- Document inspection findings clearly, including maintenance concerns, property condition, required actions, and supporting photographs where appropriate.
- Arrange and conduct property viewings for prospective commercial tenants.
- Present available commercial spaces professionally and provide accurate property information during viewings.
- Receive and assess property maintenance queries and determine the appropriate next steps.
- Arrange access to properties for contractors, service providers, tenants, and other relevant stakeholders.
- Request and compare quotations from contractors and service providers for maintenance and repair work.
- Coordinate approved maintenance work from initial instruction through to completion.
- Monitor contractor attendance, workmanship, deadlines, and outstanding actions.
- Confirm that maintenance work has been completed and report unresolved or recurring issues.
- Maintain accurate inspection reports, maintenance records, quotation documents, photographs, and contractor updates.
- Communicate maintenance progress and property access requirements to relevant stakeholders.
- Identify urgent health, safety, security, or property condition concerns and escalate them promptly.
- Support property handovers and ensure that the condition of the premises is recorded accurately.
