Summary

The Organization Development Operations Manager is a strategic and operational leader responsible for overseeing employee engagement, internal programs, administrative services, and enterprise mail processing operations. This role ensures the seamless execution of organization-wide initiatives by integrating logistics, systems, processes, and people management into a cohesive, high-performing function. Leading cross-functional efforts across onboarding, training support, engagement initiatives, internal communications, and operational workflows while directly managing a team of three employees, the Manager serves as a key partner to leadership, driving efficiency, enhancing the employee experience, and supporting a culture of engagement, accountability, and continuous improvement.

 

Essential Duties and Responsibilities

 

Leadership & People Management

  • Directly manage, coach, and develop a team of three employees across operational and engagement functions.
  • Provide clear direction, performance management, and ongoing mentorship to ensure high-quality execution and professional growth.
  • Foster a collaborative, service-oriented team culture focused on responsiveness, accountability, and innovation.
  • Oversee staffing, training, and performance evaluations, addressing gaps and recognizing high performance.


Employee Engagement & Organizational Development

  • Lead the design and execution of employee engagement strategies, internal campaigns, and culture-building initiatives.
  • Oversee onboarding experiences, ensuring new hires are equipped for success and aligned with company values.
  • Manage rewards and recognition programs, including service anniversaries, peer recognition, and engagement initiatives.
  • Support and promote DEIB and AIDET programs through training, campaigns, and internal communications.
  • Analyze engagement data and feedback to inform continuous improvement strategies.
  • Operations, Logistics & Process Optimization
  • Design, implement, and optimize workflows, SOPs, and systems that support OD initiatives and internal operations.
  • Lead project coordination and logistics for company-wide initiatives, events, and campaigns.
  • Manage internal tools, platforms, and systems (e.g., SharePoint, Teams, HRIS) to ensure functionality, efficiency, and user accessibility.
  • Maintain dashboards, tracking systems, and documentation to ensure visibility, accountability, and execution across projects.
  • Partner cross-functionally with IT, Marketing, HR, and Operations to align systems and processes.
  • Create resource guides, visual aids, digital workflows, and dept-specific training and support materials.
  • Host group and individual training sessions to review and train staff/managers on new technology/functionality


Administrative Services & Internal Events

  • Oversee planning and execution of companywide events, Town Halls, Village Halls, and employee engagement activities.
  • Manage logistics for onboarding sessions, appreciation events, and internal campaigns.
  • Coordinate vendor relationships, event planning, and onsite execution of organizational initiatives.
  • Provide high-level administrative and operational support to leadership and cross-functional teams.
  • Ensure consistent internal communication visibility across digital and physical platforms.


Mail Processing & Courier Services

  • Oversee all mail processing operations, including intake, distribution, tracking, and digital document management.
  • Ensure compliance with HIPAA, USPS regulations, and internal security standards.
  • Manage workflows for payer mail, document classification, and issue resolution.
  • Monitor performance, conduct audits, and implement quality control measures to ensure accuracy and timeliness.
  • Serve as an escalation point for mail-related issues and cross-departmental coordination.
  • Act as a key liaison between Organization Development and internal departments to support operational and engagement needs.
  • Partner with leadership to assess needs, implement solutions, and drive organizational effectiveness.
  • Support enterprise initiatives by aligning logistics, communication, and execution strategies.
  • Manages the Courier Services for the enterprise.
  • Other duties as assigned.


Qualifications

  • Bachelor’s degree in business administration, Organizational Development, Project Management, or a related field preferred.
  • 3-5 years of experience in operations, organizational development, engagement, or administrative leadership.
  • Proven experience managing multiple functions, projects, and priorities in a fast-paced environment.
  • Strong technical proficiency with Microsoft 365, collaboration platforms, and operational systems.
  • Demonstrated leadership experience, including direct people management.


Supervisory Responsibilities

Directly supervises a team of three employees across operational and engagement functions, including hiring, training, coaching, performance management, and ongoing professional development.

Physical Demands & Work Environment

This position is primarily office-based and requires regular computer use, communication, and collaboration with employees and leaders across the organization. The role requires sitting, standing, walking, and occasional handling, lifting, carrying, or transporting of documents, mail, supplies, and other work-related materials. Employees must be able to manage multiple priorities in a fast-paced environment.
