Greet customers promptly and professionally, creating a positive first impression.
Assist Service Advisors with scheduling service appointments and managing daily workflow.
Answer incoming phone calls, emails, and text messages, directing inquiries appropriately.
Open and close repair orders accurately and ensure all required documentation is complete.
Maintain communication with customers regarding appointment status and vehicle readiness.
Coordinate with technicians, parts department, and advisors to facilitate timely vehicle repairs.
Verify customer and vehicle information for accuracy in the dealership management system (DMS).
Assist with warranty documentation and service contract paperwork.
Maintain organized customer records and ensure compliance with dealership policies.
Monitor loaner vehicles, shuttle schedules, or rental arrangements when needed
Follow up with customers after service visits to ensure satisfaction and address concerns.
Support service department marketing initiatives, including maintenance reminders and appointment confirmations.
Keep the customer waiting area clean, stocked, and welcoming.
Perform general administrative duties, including filing, scanning, data entry, and report preparation.
Assist with maintaining service department performance metrics and daily reports.
Ensure all customer interactions reflect the dealership's commitment to exceptional customer service.
Perform other duties as assigned by the Service Manager or Fixed Operations Director.
QualificationsJob Qualifications
Mechanical aptitude
Good verifiable job history
Knowledge of automotive systems and repair
High school diploma or equivalent.
Previous successful experiences in customer service or sales.
Willing and able to complete various job-related training at the owner's request.
Fluent in English – read, write, speak
Essential fluency in Spanish is a plus
Proficient in the use of Windows-based computer software and Reynolds experience a plus.
Valid driver's license and clean driving record
