Job Summary: 

The Administrative Coordinator Supervisor leads and oversees the administrative support functions for assigned production and manufacturing operations. This role is responsible for supervising Administrative Coordinators and ensuring the effective execution of departmental administrative processes, including purchasing and tracking, headcount management, training compliance, onboarding, attendance management, inventory control, departmental communications, process data collection, and safety compliance activities. The position serves as a key liaison between production, support functions, and leadership teams, ensuring operational efficiency, data accuracy, and administrative excellence in a fast-paced manufacturing environment.

 

Essential Duties:

Functional Leadership & Operations:

  • Lead the daily activities and performance of Administrative Coordinators, ensuring efficient execution of administrative and operational support functions
  • Oversee purchasing processes and tracking of departmental consumables, supplies, and equipment
  • Manage headcount tracking and reporting to support workforce planning and organizational needs
  • Coordinate and monitor SMT training records and compliance requirements
  • Oversee new hire onboarding activities, orientation processes, and administrative support for employee integration
  • Manage attendance tracking and reporting processes to ensure accurate workforce data
  • Oversee inventory management activities for departmental administrative and operational resources
  • Ensure timely collection, maintenance, and reporting of process and operational data
  • Prepare and distribute recurring operational reports, workforce metrics, and business updates for production leadership
  • Support scheduling, calendar coordination, meeting planning, and administrative activities for production leadership as required
  • Maintain department rosters, employee records, and other administrative documentation with a high degree of accuracy

Strategic Alignment & Continuous Improvement:

  • Identify opportunities to improve administrative processes, workflows, and reporting systems to enhance efficiency and effectiveness
  • Develop and implement standardized administrative procedures and best practices across assigned areas
  • Monitor departmental budget expenditures and provide tracking and reporting support to leadership
  • Analyze operational and workforce data to identify trends, opportunities, and corrective actions
  • Support department initiatives and projects by coordinating resources, timelines, and administrative requirements

Team Development & Knowledge Sharing:

  • Establish performance expectations and goals for Administrative Coordinators and provide regular coaching and feedback
  • Support employee development through training, mentorship, and knowledge sharing
  • Ensure team members are trained on administrative systems, processes, policies, and procedures
  • Promote a culture of accountability, continuous learning, teamwork, and customer service

Cross-Functional Collaboration & Stakeholder Engagement:

  • Collaborate with Production, Human Resources, Training, Safety, Finance, Procurement, and other support functions to achieve departmental objectives
  • Serve as the primary coordinator for departmental communications, ensuring timely dissemination of operational updates, organizational announcements, and leadership communications
  • Coordinate meetings, prepare agendas, compile presentation materials, and communicate action items to stakeholders
  • Facilitate communication between administrative staff and production leadership, escalating concerns and supporting resolution efforts
  • Support cross-functional initiatives, Requests for Approval (RFAs), training requests, work orders, and other administrative projects

Quality, Safety, Compliance, & Risk Management:

  • Ensure compliance with company policies, administrative procedures, attendance requirements, and documentation standards
  • Monitor and support 6S compliance activities within assigned areas
  • Administer PPE distribution processes and support compliance with established safety requirements
  • Handle sensitive and confidential business information with discretion and professionalism
  • Promote a safe work environment and ensure adherence to applicable safety, quality, and regulatory requirements

Supervisory Responsibilities:

  • Provide direct supervision to Administrative Coordinators, including work assignment, performance oversight, training, and adherence to safety and operational standards
  • Monitor attendance trends and partner with leadership and Human Resources to address attendance-related concerns and reporting requirements
  • Conduct performance reviews, coaching discussions, employee development planning, and corrective action processes as needed
  • Manage staffing, workload distribution, scheduling coordination, and team performance metrics
  • Foster employee engagement, teamwork, accountability, and continuous improvement within the administrative support team

Personal Protective Equipment (PPE) Requirements:

  • To ensure the health and safety in the workplace and for the protection of our employees, wearing PPE is a possibility and may include equipment such as a full Tyvek suit, safety shoes, gloves, safety glasses, face mask, bump cap, and a full hazmat suit that includes a respirator.

Qualifications

Requirements - Required and/or Preferred

Education, Certifications, and Licenses:

Required:

  • Associate's Degree in Business Administration, Management, Human Resources, Operations, or a related field
  • Relevant experience may be substituted for required education

Preferred:

  • Bachelor's Degree in Business Administration, Management, Human Resources, Operations Management, or a related field
  • Lean Six Sigma Yellow Belt or Green Belt
  • Certified Administrative Professional (CAP)

Essential Qualifications:

  • 3+ years of progressive leadership experience supervising employees in an administrative, manufacturing, operations, or business support environment
  • Demonstrated experience managing administrative processes, employee records, scheduling, purchasing, reporting, and department support functions
  • Strong organizational, planning, and prioritization skills with the ability to manage multiple responsibilities in a fast-paced environment
  • Proficient with Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook
  • Experience utilizing ERP systems such as SAP for reporting, employee tracking, purchasing, or data management
  • Experience preparing reports, presentations, workforce metrics, and business communications
  • Excellent communication, interpersonal, and stakeholder management skills
  • Ability to handle confidential and sensitive information with discretion
  • Strong analytical, problem-solving, and process improvement capabilities
  • Ability to collaborate effectively with cross-functional teams, including internal and international stakeholders
  • Working knowledge of manufacturing operations and production support processes
  • Must have working-level knowledge of the English language, including reading, writing, and speaking English

Preferred Qualifications:

  • 5+ years of progressive leadership experience, including direct supervision of administrative or operational support personnel
  • Prior manufacturing experience in a high-volume production environment
  • Experience supporting production, operations, or industrial manufacturing organizations
  • Experience with workforce planning, training administration, budget tracking, and inventory management
  • Lean manufacturing, continuous improvement, or 6S experience
  • Direct experience with lithium-ion battery manufacturing, battery production scale-up, or battery R&D environments
