Job Purpose
The Student Financial Services & Enrollment Coordinator plays an integral role in delivering an exceptional student experience by supporting prospective and enrolled students throughout their educational journey from enrollment through graduation. This position serves as the primary connection between the Admissions, Academics, Finance, and Student Services teams, ensuring students receive timely guidance regarding enrollment, financial aid, tuition, and institutional processes.
Main Duties and Responsibilities
- Guide prospective and newly admitted students through the enrollment process, ensuring a seamless transition from Admissions to Academics.
- Prepare, generate, and maintain enrollment documentation including enrollment agreements, enrollment letters, student files, and official student letters.
- Coordinate student intake activities including creating student files, student ID cards and orientation preparation.
- Maintain accurate student records within institutional databases and student information systems.
- Ensure all enrollment documentation is complete prior to program start dates.
- Monitor student documentation throughout the student lifecycle. Process withdrawals, transfers, deferrals, and program changes in accordance with institutional policies.
- Respond to student inquiries within one business day.
Financial Aid & Student Funding
- Provide confidential financial aid advising to prospective and current students.
- Counsel students regarding tuition fees, payment options, Student Aid BC funding, private funding, and institutional payment plans.
- Assist students with Student Aid BC applications and supporting documentation.
- Review financial aid documentation for completeness and accuracy.
- Prepare financial letters and supporting documentation required by funding agencies.
- Develop, administer, and monitor student payment plans.
- Track tuition balances and communicate payment deadlines.
- Follow up on outstanding tuition accounts professionally and respectfully.
- Explain institutional policies relating to refunds, withdrawals, dismissals, and tuition obligations.
- Coordinate financial-related withdrawals or dismissals in accordance with institutional policy and provincial requirements.
Compliance & Administration
- Ensure compliance with the Private Training Act, PTIRU requirements, Student Aid BC, and applicable privacy legislation.
- Maintain accurate, confidential, and audit-ready student files.
- Support regulatory reporting, audits, and internal quality assurance activities.
- Prepare reports relating to enrollment, student funding, and tuition.
- Contribute to continuous improvement of enrollment and student service processes.
Other: General
- Maintain current knowledge of institutional policies, programs, provincial legislation, and regulatory developments.
- Build positive relationships with students, faculty, staff, and external partners.
- Participate in campus events, orientations, graduations, recruitment activities, and community initiatives as required.
- Assist with administrative projects, reporting, and operational activities and other duties as assigned by management.
Person Specifications
- Eligibility to work in Canada.
- Successful Criminal Record Check.
- 1+ year experience working within a Private Training Institution in British Columbia.
- 1+ year experience with Student Aid BC.
Preferred
- Familiarity with student information systems, CRM platforms, and Learning Management Systems.
- Experience with basic accounting functions such as AR, creating payment plans, etc.
Skills & Competencies
- Excellent communication and customer service skills.
- Strong organizational and time management abilities.
- High attention to detail and accuracy.
- Ability to manage multiple priorities in a fast-paced environment. Strong problem-solving and interpersonal skills.
- Proficiency with Microsoft Office and student information systems.
