Job Purpose
The Student Experience & Academic Administration Executive will support the smooth delivery of academic operations across the student lifecycle. This role assists with maintaining student records, coordinating examinations, supporting timetabling and classroom logistics, and ensuring accurate academic documentation. The position requires strong organisational skills, attention to detail, and a student-centred approach.
Main Duties and Responsibilities
- Maintain student records
- Support SIS updates
- Respond to record queries
- Ensure compliant documentation filing
- Support exam administration
- Prepare timetables and seating plans
- Coordinate logistics
- Support exam board documentation
- Assist with timetables
- Coordinate room bookings
- Support scheduling queries
- Monitor utilisation
- Support appeals, complaints and misconduct administration
- Maintain confidential records
- Schedule meetings and track cases
- Assist with statutory reporting
- Support data validation
- Maintain documentation accuracy
- Support orientation, registration, exam boards and graduation
- Assist logistics and coordination
- Liaise with departments, IT and student services
- Communicate procedures and attend meetings
- Maintain trackers and files
- Ensure policy compliance
- Undertake additional duties
- The role will require occasional evening and weekend working to support student events, orientation activities, sports programmes and university ceremonies.
- The post holder may be required to travel locally in support of student engagement activities and external partnerships.
- The role includes active participation in student-facing activities throughout the academic year.
Person Specifications
- Bachelor's degree or equivalent qualification.
- Experience of 1–3 years in student engagement, student affairs, events, higher education or community development
- Experience coordinating events, programmes or student-facing initiatives
- Knowledge of student engagement principles and student development practices
- Strong IT skills including Microsoft Office applications
- Postgraduate qualification in Education, Student Affairs, Management, Psychology or related discipline. (Desirable)
- Experience working in a higher education institution (Desirable)
- Experience supporting clubs, societies, sports programmes or student leadership initiatives (Desirable)
- Knowledge of UK higher education environments and student experience frameworks (Desirable)
- Experience using student information systems, CRM platforms or survey tools (Desirable)
- Ability to manage multiple priorities and deliver activities to agreed deadlines
- Able to identify issues and implement practical solutions independently.
- Experience using engagement data to improve programmes and participation (Desirable)
- Strong interpersonal skills and ability to build relationships with diverse stakeholders
- Able to work collaboratively across multiple departments and functions
- Experience working in international and multicultural environments (Desirable)
- Excellent written, verbal and presentation skills
- Ability to engage confidently with students, staff and external stakeholders
- Experience developing student communications and promotional content (Desirable)
- Student-centred and service-oriented approach
- Strong organisational skills and diligence
- Positive, collaborative and proactive approach to work
- Ability to demonstrate alignment with University values and behaviours.
