Position Summary

The Institute for the Study of the Ancient World [ISAW] is seeking a proactive, detail-oriented Administrative Aide II with exceptional communication and organizational skills. This position provides vital support for the Institute's academic events, exhibition program, financial operations and general office and building operations.  The Administrative Aide II will play a key role in supporting the Institute’s day-to-day financial and administrative operations. Working closely with the Institute’s finance and administrative leadership, the Administrative Aide II will provide financial and operational support, including processing and tracking financial transactions, maintaining financial records and documentation, assisting with purchasing and procurement, reconciling expenses, supporting budget monitoring and reporting, and responding to finance-related inquiries in accordance with NYU and ISAW policies and procedures.

The Administrative Aide II will also provide financial support for ISAW’s academic programs, exhibitions, events, and general office operations, helping to ensure expenditures are properly documented, processed, and tracked. The position requires a working knowledge of ISAW’s programs, policies, activities, and administrative procedures in order to effectively respond to inquiries and coordinate with faculty, staff, students, vendors, and other University offices.

The individual will assist with administrative and financial coordination of events during the fall and spring semesters, that require evening hours on one or at most two days per week.  Advance notice will be provided in accordance with the terms of the applicable union contract. The Administrative Aide II may also provide guidance and work direction to junior staff and student workers.

Qualifications

Required Education:High School Diploma or equivalentRequired Experience:3+ years of office experience. Experience providing a high level of customer service.Preferred Experience:2 years of office experience (with Associate's degree). 1 year of office experience (with Bachelor's degree).Required Skills, Knowledge and Abilities:Proficiency with intermediate to advanced word processing, spreadsheet and database applications. Moderate to fast, accurate keyboarding. Good proofreading and writing skills.Preferred Skills, Knowledge and Abilities:Proficiency with intermediate to advanced Microsoft Office or proficiency with Apple. Knowledge of desktop publishing software.

Additional Information

In compliance with NYC's Pay Transparency Act, the hourly rate for this position is USD $39.129. This rate is based on bargaining unit contracts. This pay range represents base pay only and excludes any additional items such as incentives, bonuses, clinical compensation, or other items.
