The License Portfolio team plays a critical role in stewarding NUS' portfolio of licensing assets and contractual rights, ensuring that licensed technologies continue to be actively commercialised, that appropriate value is captured for the University and its stakeholders, and that licensing arrangements remain aligned with NUS' commercialisation objectives and stewardship responsibilities over time.
The Role
As Officer, License Administration, you will support the administration of NUS' portfolio of license agreements and related commercialisation assets.
You will be responsible for tracking contractual obligations, monitoring compliance with reporting and performance requirements, maintaining portfolio records, coordinating communications with licensees and internal stakeholders, and supporting portfolio management activities across the licensing portfolio.
Working closely with the Director, License Portfolio, you will help ensure that contractual obligations are fulfilled, emerging issues are identified early, and portfolio information remains accurate, complete, and actionable.
What You’ll Do
Administer the Licensing Portfolio
- Maintain accurate records of license agreements, contractual obligations, reporting requirements, payment schedules, and other portfolio information.
- Review executed agreements and capture key obligations, milestones, reporting requirements, and deadlines.
- Maintain portfolio databases, tracking tools, and related systems.
- Support portfolio reporting, governance, and record-keeping activities.
Monitor Compliance and Obligations
- Track financial, reporting, commercialisation, diligence, and other contractual obligations across the licensing portfolio.
- Monitor reporting deadlines, milestone commitments, payment obligations, and other contractual requirements.
- Collect, review, and process reports, certifications, and other submissions from licensees.
- Identify overdue obligations, potential compliance issues, and other portfolio risks and escalate them as appropriate.
Support Portfolio Management Activities
- Support communications with licensees regarding reporting requirements, outstanding obligations, and other portfolio matters.
- Assist in the administration of extensions, amendments, waivers, notices, and other portfolio actions.
- Prepare compliance summaries, portfolio analyses, and supporting materials for portfolio reviews and decision-making.
- Support activities relating to portfolio recovery, asset redeployment, and other portfolio interventions.
Support Continuous Improvement
- Contribute to the development and improvement of portfolio administration processes, workflows, systems, and reporting tools.
- Support data quality, process consistency, and operational excellence across portfolio management activities.
- Assist with special projects and other initiatives supporting the License Portfolio function.

What You Bring
- 3–6 years of experience in licensing administration, contract administration, revenue administration, legal operations, commercial operations, or related fields.
- Experience supporting technology licensing, intellectual property management, research commercialisation, or related commercialisation functions.
- Experience administering royalty-bearing agreements or other agreements involving recurring payment, reporting, or performance obligations.
- Experience tracking contractual obligations, deadlines, reporting requirements, or compliance-related activities.
- Strong organisational skills and attention to detail.
- Ability to manage multiple priorities and maintain accurate records in a fast-paced environment.
- Strong analytical, communication, and problem-solving skills.
- Ability to work effectively with internal and external stakeholders.

- Experience working with contract management, licensing, CRM, workflow management, or portfolio management systems.
- Experience supporting audits, compliance reviews, governance activities, or portfolio reporting processes.
- Experience working in a university, research institute, public-sector, or other research-intensive environment.
