Overview of the role

Northern Trust Asset Management's global marketing strategy is evolving, our team is growing and we’re looking for individuals interested in growing with us. We are seeking passionate, results-driven, creative thinkers, with a high attention to detail who value collaboration.

Reporting to the Head of Product Marketing Operations, the Marketing Operations Specialist position is a generalist role within our production team in Marketing Operations. The production team establishes and adapts the update cycle process and procedures to create scale and mitigate marketing/business risk. This includes, but is not limited to, creating a cycle framework, implementing regulatory updates, managing collateral updates, and automating deliverables. The team also assists with Seismic, specifically content maintenance and uploads and executing tasks designed to modernize the platform.

The Marketing Operations Specialist has primary responsibility for the updating, maintenance and production of our quarterly and annual performance marketing content and materials across print and digital platforms. Secondarily, during off-update cycle periods, the Specialist will take on additional efficiency projects.

The role will require strong collaboration and partnership within Marketing and across Data Operations and Technology, Product Development and Management, Investments and Client Portfolio Management, Compliance and Legal, and Distribution to establish clear objectives and priorities.

Responsibilities:

  • Complete quarterly/annual update cycle of collateral materials (pitchbooks, profiles, flyers, bios, etc.) including content updates, status reporting, compliance submissions, and being well-versed with all data and sources (performance, characteristics, rankings, internal databases, etc.)
  • Create and manage procedures to efficiently and effectively scale content update & maintenance, mitigate risk and comply with industry and internal standards
  • Establish and maintain relationships throughout the firm, across Compliance, Technology/Data, Client Portfolio Managers/Portfolio Managers, Distribution, Reporting, and others
  • Implement ad hoc content updates due to organization changes, fund actions, and regulatory rules & changes, as established by governing bodies (SEC, FINRA, ASIC, FCA, ESMA, etc.), across various investment offerings, regions, and marketing assets, including coordinating changes to product webpages
  • Review and identify opportunities to use technology to support efficiency and/or automation of marketing content and recurring deliverables, eliminating data dependency, redundancy & reduce cycle time
  • Be intellectually curious, gain a knowledge and understanding of our products, as well as continuing to research and learn about Marketing Operations and production advances in the industry
  • Increase productivity by simplifying workflows using data and AI‑and automation-driven tools
  • Support the overall Marketing Operations team, acting as back-up support for other roles and responsibilities within the group as designated

Experience & Skills:

The successful candidate will benefit from having:

  • 3 years of financial services performance/data update experience preferred
  • Understanding of the investment management industry, familiarity with investment vehicles, marketing constructs, regulatory requirements, and distribution channels preferred
  • Effective collaboration and communication (verbal & written) skills
  • Strong attention to detail, organizational skills, with a commitment to quality
  • Ability to prioritize in a fast-paced environment
  • Ability to follow established procedures and maintain accurate records
  • Ability to think creatively and outside the box to find to solutions to known problems
  • Demonstrated ability to multi-task, ­effectively manage and navigate multiple projects, organize competing objectives and manage deadlines
  • Strong work ethic and professional demeanor
  • Creative and technical abilities across the Microsoft office suite, including Copilot
