Executive Assistant & Office Manager

The Office Manager & Executive Assistant is a trusted partner to executive leadership, responsible for both high-level administrative support and the seamless operation of the office. This role combines executive assistance, financial coordination, and operational oversight to ensure efficiency, organization, and a professional environment across the business. With a proactive and highly discreet approach, this individual enables leadership to focus on strategic priorities while maintaining structure across day-to-day operations.

What You'll Do:

· Provide high-level administrative and personal support to executive leadership, including managing schedules, coordinating priorities, organizing documents, and overseeing confidential business information with discretion

· Manage executive administrative tasks such as expense processing, credit card and account reconciliations, bill payments, and coordination of subscriptions, services, and personal obligations

· Support financial and operational processes by maintaining and reconciling accounts and credit cards, assisting with QuickBooks entries, and preparing financial reports and documentation on a monthly, quarterly, and annual basis

· Coordinate tax preparation and financial compliance processes by collecting, organizing, and submitting documentation to accountants, and assisting with audit support, and annual filings

· Manage front desk and office operations, including receiving mail, signing for packages, greeting visitors and vendors, and creating a professional and welcoming office environment

· Maintain organization, cleanliness, and functionality of office and shared spaces, including managing supplies, vendor services, and communication with building management

· Coordinate logistics for meetings, executive schedules, company events, and team gatherings, including quarterly meetings and annual conferences

· Receive, review, and route important documents such as tax notices, insurance materials, and financial statements to appropriate internal or external stakeholders

· Maintain spreadsheets, tracking tools, and reporting systems for financial activity, distributions, charitable contributions, and operational data

· Support additional operational needs, including assisting with licensing, credit applications, new account setup, and special projects as they arise

· Provide general administrative and cross-functional support to ensure smooth day-to-day business operations across the organization

Requirements

 

What You'll Bring:

· Unimpeachable integrity, serving as a trusted steward of information and fostering a culture of accountability, transparency, and professionalism across the organization.

· Proven experience supporting senior executives, office operations or a similar high-responsibility administrative role.

· Strong organizational and time management skills with exceptional attention to detail

· Ability to manage multiple priorities and work independently in a fast-paced, dynamic environment.

· Strong communication skills, both written and verbal, with the ability to interact effectively across all levels of the organization.

· Financial and administrative acumen, including experience in expense management, reconciliations, or bookkeeping (QuickBooks, Concur)

· Proficient in Microsoft Office and other business systems

· Proactive, resourceful, and solution-oriented mindset

Additional Details:

· High school diploma required, bachelor's degree preferred.

· Experience in real estate, finance, or multi-entity business environment is a plus.

· Work is performed in a professional, in- office environment.

· Background check, Driver’s License and E-Verify required.

· Bilingual proficiency in English and Spanish would be a plus.
