Ensures efficient front-office operations and patient experience by managing scheduling, registration, insurance verification, and communication processes in alignment with the organization’s mission to provide accessible, high-quality care for vulnerable populations.

Responsibilities

Ensures efficient front-office operations and patient experience by managing scheduling, registration, insurance verification, and communication processes in alignment with the organization’s mission to provide accessible, high-quality care for vulnerable populations.

Medical Secretary Responsibilities:

  • Greet patients and visitors, manage check-in/check-out, and ensure accurate registration, achieving 100% accuracy and completing check-in within 5 minutes per patient.
  • Schedule, confirm, and manage patient appointments using the clinic’s system, optimizing provider schedules and maintaining a 95% appointment confirmation rate.
  • Coordinate specialty referrals, obtain prior authorizations, and ensure documentation is sent, completing 100% of referral tasks within 3 business days.
  • Verify insurance, explain billing procedures, collect co-pays, and resolve inquiries, maintaining ≥ 98% accuracy and processing payments within 1 business day.
  • Answer and manage phone calls, emails, and other communications, resolving or routing ≥ 90% of inquiries on first contact and responding within 1 business day.
  • Maintain and update patient records in compliance with HIPAA, achieving zero confidentiality breaches and 100% adherence during audits.
  • Provide excellent customer service by addressing patient needs and managing flow, maintaining wait times under 15 minutes and achieving ≥ 90% patient satisfaction scores.
  • Perform clerical tasks such as faxing, scanning, and data entry, completing ≥ 95% of tasks within designated timelines and supporting medical staff as needed.

Qualifications

  • High school diploma or equivalent; medical office training or certification preferred.
  • 1+ year in a medical office or healthcare setting.
  • Proficiency in scheduling systems and insurance verification.
  • Familiarity with electronic medical records (EMR) systems, appointment scheduling software, and basic office equipment. Competence in using Microsoft Office Suite (Word, Excel, Outlook).
  • Knowledge of HIPAA and patient confidentiality standards.
  • Ability to address and resolve patient concerns, manage unexpected situations, and coordinate effectively with other departments.
  • Strong communication and organizational skills.
  • Mission-driven, detail-oriented, empathetic, and committed to serving diverse populations.
