About the Opportunity

The Office of Prevention and Education at Northeastern (OPEN) is a collaborative, student-facing office at Northeastern University dedicated to prevention, education, and training in the areas of alcohol and other drug use, sexual violence, sexual health, and broader wellness initiatives. The Administrative Assistant will collaborate with the team of nine staff to support the daily operations of the office.

This role is well suited for someone who brings strong organizational skills, sound professional judgment, and a genuine commitment to student well-being. Candidates should be comfortable working in an office that supports students around sensitive health topics. Priority will be given to candidates who apply by August 7th.

RESPONSIBILITIES

Communications

  • Serve as a welcoming first point of contact for the office across all channels, maintaining a professional and supportive tone at all times

  • Communicate on substantive matters with a broad range of internal and external stakeholders, including senior university administrators, faculty, staff, students, and parents

Program & Administrative Support

  • Provide day-to-day administrative support across OPEN programs and initiatives, including bystander intervention education, sexual health programming, and other wellness campaigns

  • Coordinate logistics for meetings, presentations, and major events, including scheduling, room reservations, and preparation of materials

  • Track attendance for major programs and produce summary reports for leadership

  • Support budget reconciliation by organizing and processing invoices

Office Operations

  • Oversee a range of administrative projects including vendor coordination, supply management, and general office workflow

  • Maintain and organize confidential records and sensitive materials with discretion and in compliance with university policies

QUALIFICATIONS

Required

  • Strong organizational, interpersonal, and written communication skills

  • Demonstrated ability to communicate professionally with people at all levels of an organization and with external constituents

  • Demonstrated commitment to providing inclusive, affirming, and welcoming spaces for students of all backgrounds and identities

  • Ability to exercise independent judgment and discretion, take initiative appropriately, and recognize when to escalate

  • Experience handling confidential materials and navigating sensitive situations calmly and professionally

  • Strong attention to detail, proofreading, and follow-through

  • Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, Teams, and Outlook; must be able to learn new applications and troubleshoot independently

Preferred

  • Bachelor's degree and/or 1–3 years of administrative experience

  • Experience working with young adults or a college-aged population

  • Familiarity with Salesforce, WordPress, Qualtrics, and/or Canva

Expected Hiring Range:

$23.37 - $32.14
