The Neon Museum is a nationally accredited non-profit organization experiencing tremendous growth, rooted in a mission dedicated to collecting, preserving, studying and exhibiting iconic Las Vegas signs for educational, historic, arts and cultural enrichment. On our 2+ acre campus, the Museum offers an outdoor exhibition space known as the Neon Boneyard; the North Gallery, home to the 360 o light and sound experience “Brilliant! Jackpot”; and an awe-inspiring visitors’ center inside the historic lobby of the former La Concha Motel. Public and K-12 education, community outreach and engagement, research, and arts preservation represent a selection of our many ongoing projects. Welcoming 200,000-plus visitors annually, the Museum has received numerous national accolades and extensive recognition as a Las Vegas treasure. We aim to provide a collaborative work environment that allows everyone to thrive, acknowledging that every team member in the organization plays an essential part in providing our guests with an exceptional experience. The Neon Museum is now embarking on an ambitious new relocation and expansion effort resulting in 80,000 square feet of outdoor exhibition space and, for the first time, 60,000 square feet of indoor space; nearly tripling its existing footprint.
Summary of Duties and Responsibilities
The Museum hosts more than 300 outdoor events in its North Gallery space annually. These include sweetheart weddings, elopements, catered private and corporate gatherings, and encompass internal Museum events such as historic sign lightings and fundraisers. The Events Coordinator is the primary planning contact for clients and meeting planners, drafting contracts, food and beverage requirements, logistical needs, and operational expectations into a polished, accurate, and executable event. This position requires a polished, proactive, highly organized, and guest focused hospitality professional with strong knowledge of Museum operations, conference services, banquet operations and billing. Ensure contract terms, concessions, food and beverage, billing instructions, special requirements, and planning expectations are clearly understood and documented.
- Serve as the primary planning liaison between clients, meeting planners, destination management companies, third party vendors, affiliates and internal departments throughout the planning cycle and on-site execution.
- Review contracts for critical details, including but not limited to cancellation terms, rates, deposits, payments, billing arrangements, and special commitments.
- Prepare and maintain accurate information, menus, diagrams, estimates, billing instructions, VIP details, and amenity requests.
- Partner with clients and internal teams to develop service formats, flow, staffing needs, signage, audiovisual requirements, power and internet needs, transportation details, security needs, and other logistical components.
- Coordinate with Facilities, Security, Guest Experience, and other departments to ensure all event details are operationally sound and clearly communicated.
- Lead planning calls, site inspections, planning visits as required.
- Support revenue goals by recommending enhancements, upsells, and other opportunities.
- Manage client requests, program changes, special dietary needs, VIP preferences, accessibility needs, custom menu requests, vendor requirements, and operational exceptions with professionalism, urgency, and sound judgment.
- Attend assign events, walk function space, support on-site execution, troubleshoot operational concerns, communicate changes to affected departments, and provide timely service recovery when needed.
- Ensure website is updated, accurate, and maintained.
- Maintain strong client relationships through proactive communication, detailed follow up, polished documentation, anticipation of needs, and consistent service excellence that supports loyalty and repeat business.

Qualifications
- Minimum of two (2) years of experience in event coordination, hospitality, sales, or customer service.
- Strong organizational skills with the ability to manage multiple projects and deadlines.
- Excellent communication and customer service skills.
- Experience with event management or CRM systems, such as Tessitura, Tripleseat, or similar platforms, preferred.
- Knowledge of the Las Vegas events and vendor landscape is a plus.
- Passion for arts, culture, and the unique history of Las Vegas.

Education and Qualifications (required and preferred)
- Minimum of two (2) years of experience in events, hospitality, sales, or customer service.
- Understanding of current DEAI principles and a commitment to upholding related standards.
- Experience working in a team environment.
- Proficiency in Microsoft Office and general office equipment; ability to adapt to new software as introduced.
- Experience with Tessitura ticketing system and Tripleseat preferred.
Working Conditions
- Initial shift is Monday-Friday, day shift.
- Ability to work outdoors in seasonal desert weather conditions
- Ability to work indoors in a climate-controlled environment, sitting / standing for long periods of time.
- Ability to lift 35 pounds.
- Ability to use a computer and office equipment, knowledge and use of Microsoft products
- Valid clean driver’s license and daily use of a car essential.

Salary: $ 45,000 annual based on previous experience and applicable skills.
