Gift Administrator, Major Gifts

Position Summary
In this key role, you will help safeguard the accuracy, integrity and compliance of NCC’s major-gift revenue by ensuring that cash and in-kind gifts are recorded, processed, reconciled and receipted accurately and on time in Raiser’s Edge. Working closely with Finance and Fundraising teams across NCC, you will support reliable budget reporting, donor stewardship, audit readiness and future solicitation by maintaining high-quality gift data and applying internal revenue-allocation policies and external tax-receipting requirements.
Position Requirements
Data entry, gift processing and receipting
- Accurately and timely processing of major-gift data from different business and operating units from multiple sources including use of funds.
- Process cash donations from major donors, bequests, government grants and other revenue sources.
- Process non-cash and in-kind gifts, including land and conservation agreement donations, securities, trade lands and insurance premiums paid directly by donors.
- Apply internal policies and procedures, external regulations and compliance requirements when processing and allocating revenue.
- Issue and distribute CRA-compliant tax receipts, including replacement receipts for major gifts, within required timelines.
- Process gifts from donor-advised funds and other major-gift platforms, record soft credits for individual donors and upload supporting documentation in Raiser’s Edge.
- Complete daily reconciliation of major-gift revenue recorded in Raiser’s Edge against bank records and resolve discrepancies promptly.
- Support other areas of gift administration team during seasonal workload peaks.
Reports, Training and Process Improvement
- Provide accurate gift and non-gift revenue data from Raiser’s Edge to support the annual financial audit and T3010 charity return.
- Prepare scheduled and ad hoc revenue reports for senior leaders and train staff in business and operating units on revenue form content and submission requirements.
- Train Gift Administration team on major-gift processing and receipting requirements.
- Collaborate with Planned Giving, Fundraising and Finance team on programs and projects.
- Identify processing challenges and recommend improvements, including workflow redesign and system-integration initiatives related to gift processing.
Policies, Procedures, Standards and Guidelines (PPSGs) and Manuals
- Update data-entry guides, gift-entry manuals and end-to-end procedure documents, and create new procedure documents as needed.
- Ensure PPSGs related to major gifts area are updated by revision dates.
Other Support Functions
- Support key projects, including new ERP implementation and donor-journey initiatives.
- Support other Gift Administration areas, including direct mail, telemarketing, third-party, online and monthly gift setup and processing.
- Assign tax receipts for processed gifts and upload files for the fulfillment house.
- Assist with oversight of volunteers, temporary staff and interns.
- Complete other projects and duties as assigned by the Manager, Gift Administration and Director, Gift Administration.
Required Skills and Attributes
- Minimum 3 years of experience in Gift Administration, using Raiser’s Edge or another nonprofit database combined with experience with data integration, automation, data visualization and business intelligence tools.
- Excellent knowledge of Canada Revenue Agency’s gift receipting requirements and a good understanding of fundraising and nonprofit accounting practices and procedures.
- Highly organized and exemplary attention to details, with a high level of accuracy and ability to work independently.
- Strong analytical and problem-solving skills combined with excellent written and verbal communication skills.
- Ability to work under pressure and contribute to a culture of accountability and collaboration.
- Strong interpersonal and customer service skills.
- Post-secondary education in a related field such as, Business Administration, Data Analytics, Nonprofit Management, etc.
- Proficiency with Microsoft Office applications, including Outlook, Word, Excel, Power BI and PowerPoint.
