About this role

Summary

This position acts as the front-line person and provides clerical, secretarial and receptionist support for the genetic counselors. Coordinates the patient flow process within the practice by answering the phone, scheduling appointments, registering patients, verifying insurance information, confirming patient demographic information, and collecting family histories from the patients prior to the appointment. This position will demonstrate excellent customer service to a diverse patient population.


Responsibilities

(20%)  Strives for excellent customer service. Answers genetic counseling patient phone calls and assists with schedule changes.

(20%)  To assure patient safety and accuracy, patient information is verified and updated Regarding family cancer history and develops a pedigree prior to the appointment with the genetic counselors.

 

(20%)  Assists with scheduling patient appointments for the genetic counselors. Utilizes several computer systems including CRA and Epic.

 

(20%)  Completes clerical duties for the genetic counseling appointments.

 

(20%) * Completes paperwork for patient testing and coordinates appointments for testing after counseling session

 

OTHER DUTIES AND RESPONSIBILITIES:

Understands HIPAA privacy regulations and applies the regulations to daily incoming and outgoing verbal and written materials and often handles sensitive personal protected health information.

 

 Will schedule appointments and testing as required as well as obtain insurance authorizations if required.

 

Processes all incoming communications. Accurately fax, file and scan documents. Accurately maintains

documents in the patient medical record.

 

Demonstrates ability and willingness to work as a team member. Communicates in a clear, concise and professional manner.

 

Demonstrates a commitment to the customer's (internal and external) needs consistent with MyMichigan Health's overall mission, policies and procedures.

 

Performs other duties as assigned.

Required Education

High school diploma or GED is required

Associate degree preferred

EXPERIENCE, TRAINING AND SKILLS:

 

Knowledge of reading, writing, mathematical and computer skills.

 

Keyboarding skills needed to register patients and other office tasks.

 

Knowledge of medical terminology, medical office policies, practices and procedures as normally acquired through two (2) years working in a medical office or similar setting.

 

Interpersonal skills needed to communicate successfully with individuals and groups and interact with people at all levels to communicate ideas and concepts in a clear and understandable manner.

 

PHYSICAL/MENTAL REQUIREMENTS AND TYPICAL WORKING CONDITIONS:

Exposure to stressful situations, including those involving public contact, as well as trauma, grief and death.

 

Able to wear personal protective equipment that includes latex materials or appropriate substitute if required for your position.

 

Is able to move freely about facility with or without an assisted device and must be able to perform the functions of the job as outlined in the job description.

 

Overall vision and hearing are necessary with or without assisted device(s).

 

Frequently required to sit/stand/walk for long periods of time. May require frequent postural changes such as stooping, kneeling or crouching.

 

Some exposure to blood borne pathogens and other potentially infectious material. Must follow MyMichigan Health bloodborne pathogen and TB testing as required.

 

Ability to handle multiple tasks, get along with others, work independently, regular and predictable attendance and ability to stay awake.

 

Overall dexterity is required including handling, reaching, grasping, fingering and feeling. May require repetition of these movements on a regular to frequent basis.

Physical Demand Level: Sedentary. Must be able to occasionally (0-33% of the workday) lift or carry 0-10 lbs.
