Job Summary:

The Sales coordinator is responsible for supporting the sales team with customer needs, issues, and satisfaction by utilizing internal and external resources to ensure product processes and timing to meet and/or exceed customer experience.

Essential Job Duties and Responsibilities:

  • Assist Inside Customer Account Managers and Regional Sales Managers to ensure customer satisfaction by tracking open orders, source materials, and coordinating deliveries as needed.
  • Perform scheduling and planning functions for new orders entered into the ERP system.
  • Decision making regarding product orders, quotes, and shipping to expedite customer requests.
  • Administration of daily maintenance and prioritization of product worklists within the ERP system to ensure efficient workflow, resources utilization, and customer satisfaction.
  • Responsible to make and communicate changes to the schedule based on changes in material availability, production capabilities, etc. to ensure accurate fulfilment of customer requirements.
  • Communicate with suppliers and outside processors to expedite materials and services, minimizing delays and supporting customer delivery expectations.
  • Answer Outside Processors questions with internal resources
  • Liaison between sales team and warehouse operations to prioritize critical orders, resolve issues, and facilitate timely order fulfilment.
  • Coordinate certificates, packing slips, and other customer required compliance and shipment documentation
  • Support ERP system through the creation, maintenance, and optimization of enterprise parameters and operational settings.
  • Direct communication with customers, both internal and external, carriers, and suppliers to resolve any grievances or claims
  • Proactively and reactively solve customer and supplier issues in a manner which satisfies both the customer and the company.
  • Other duties as assigned by management
  • Regular and reliable on-site attendance is a condition of employment

Requirements

Qualifications:

  • Bachelor's degree in Business or relevant field or AAS Business degree with at least 5 years' experience in inventory control and supply chain processes in a manufacturing environment.
  • Experience with interacting directly with customers is preferred.
  • Strong written and oral communication skills to interact with customers, vendors, and employees in a professional and courteous manner. Comfortable working with both high-level managers and floor operators.
  • Ability to work independently in a fast paced, stressful environment
  • Strong problem solving and analytical skills.
  • Ability to compose and edit written materials with a great deal of accuracy.
  • Must be able to multi-task and be highly organized.
  • Strong computer skills - Demonstrate proficiency with MS Office - Excel, Word, Outlook, and Power Point

Must have valid NYS drivers license.

Supervisory Responsibilities:

  • This position has no supervisory responsibilities

Equipment, Machines, and Software Usage:

Ability to operate a telephone, cell phone, photocopier, calculator, and a computer to send/receive email messages, post information to a database, or spreadsheet, and perform processing and/or data entry into ERP system. Computer Software: Microsoft Outlook, Word, Excel.

Must wear appropriate personal protective equipment including safety shoes, gloves, and safety glasses when performing certain job duties in areas as required.

Mental and Visual Requirements:

Close mental and visual attention required to perform work dealing primarily with preparing and analyzing data and figures, performing accounting work, using a computer terminal, and/or extensive reading.

Physical Activities and Requirements:

  • Ability to sit for extended periods of time, stand, walk, talk, hear, use hands to finger, grasp, handle, or feel, and perform repetitive motions of hand and/or wrists.
  • Ability to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
  • Travel is required on an as needed basis to travel to other company site locations or as needed for other company business.

Environmental Conditions:

  • Work is performed in a typical office work environment.
  • Work involves minimum exposure to usual elements such as temperature changes with occasional exposure to dust, fumes, noise, oils, and/or lubricating fluids which may occur when checking stock availability or visiting the Warehouse.
  • Ability to exert up to 10 pounds of force occasionally and/or a negligible amount of force frequently to move objects.

Compensation:

Salary range is governmental exempt salary level to $65,000 per year plus discretionary incentive program
