Job Summary

As a Benefits Analyst at Motional, you’ll support the day-to-day administration and compliance of the Health & Welfare, Leave, Recognition, and 401(k) retirement programs. This role will serve as the subject matter expert for Benefits & Leave, be the primary support for compliance related tasks including but not limited to external and internal audits, required filings, testing and reporting and benefit plan funding and payments to vendors. You’ll deliver a positive experience for employees and managers across the business, cultivating a reputation as a subject matter expert, efficient and reliable shepherd of systems and process, and trusted advisor.

Key Responsibilities

  • Proactively data mining benefits enrollment information in the HRIS system, identifying inconsistencies & eligibility concerns where further research or enrollment/de-enrollment is needed.
  • Conducts audits of enrollments with benefit vendors to ensure data integrity between systems.
  • Has a strong understanding of benefits data integrations with carriers & consistently audits the transfer of information to the vendors.
  • Assists in the planning, execution of the open enrollment configuration and testing.
  • Maintain process documentation (SOPS) and audit controls.
  • Preparing and submitting compliance and/or census reports including but not limited to ACA filings, 5500 filings and non-discrimination testing.
  • Assists with the modeling and costing of plan related changes under Manager guidance.
  • Under the guidance of their Manager, develop and distribute clear, effective employee communications across multiple platforms - including the company intranet, newsletters, periodic reminders, plan materials, FAQS, how-to guides, and training sessions - ensuring all benefit and wellness information remains accurate, user-friendly, and up to date for onboarding, annual open enrollment, and individual consultations.
  • Own the Benefits and Leave mailboxes as the first line of support, ensuring all inquiries regarding life events, enrollment, and policy interpretation are addressed within established SLAs. Independently resolve complex benefit issues and strategically escalate high-priority or sensitive matters to their manager with synthesized data and recommended solutions.
  • Owns benefit programs billing/invoicing.
  • Ensure timely and accurate payment of invoices, track variances and resolve discrepancies utilizing HRIS reports and collaborating with Finance/AP.
  • Conduct audits of payroll benefit deductions and ensure benefit deductions for 401(k), HSA & FSAs are transmitted timely and accurately to vendors.
  • Serve as the primary point of contact for employees, HRBPs and managers regarding all leave types, including FMLA, ADA, Short-Term Disability (STD), Long-Term Disability (LTD), and state-mandated leave.
  • Oversee the end-to-end leave lifecycle, ensuring timely communication with employees, HRBP team, managers tracking return-to-work dates, and managing the interactive process for ADA accommodations with manager guidance where needed.
  • Maintain relationships with third-party leave administrators to ensure consistent policy application and compliance with evolving federal, state, and local leave laws.
  • Partner with Payroll to ensure accurate pay during leaves (including benefit deductions and disability offsets) and monitor benefit eligibility during unpaid periods.
  • Own the Annual NDT process
  • Coordinates annual plan audit with internal and external auditors.
  • Auditing data with record-keeper to identify discrepancies and rectifying records.
  • Assist with the annual company match contribution process.
  • Participate in regular record-keeper and consultant calls as part of the Benefits team.
  • Assist in the day-to-day operations of the company’s global recognition platform, ensuring a seamless user experience for employees and managers.
  • Assist in the development of creative campaigns to drive program adoption and align recognition moments with company core values.
  • Coordinate onsite wellness events, including biometric screenings, flu shot clinics, and onsite wellness perks like massages.
  • Maintain and update company plan documents, Summary Plan Descriptions (SPDs), and benefit information on the company intranet.

Skills 

  • Proficiency with Microsoft Office and Google Workspace Products 
  • Excellent communications skills.
  • Strong analytical skills and financial acumen.
  • Operates efficiently with a strong sense of urgency and a high level of service orientation for internal and external customers; provides clear, comprehensive communications to reduce redundancy and the need for follow-up inquiries.
  • Proactive, solution-oriented and comfortable working independently while contributing to a collaborative team environment.
  • High tech-savviness with a strong curiosity and aptitude for learning new software platforms and leveraging AI technologies to streamline routine daily tasks.
  • Understanding of federal, state and local regulations including ERISA, ACA, COBRA and HIPAA.

The salary range for this role is an estimate based on a wide range of compensation factors including but not limited to specific skills, experience and expertise, role location, certifications, licenses, and business needs.
