Administrative Assistant
About this role
The Administrative Assistant will provide comprehensive support to the Management Team while also taking on specific duties related to quality control and engineering documentation. This role requires a detail-oriented individual who can manage office tasks and contribute to the maintenance of quality standards and engineering records.
SKILLS/ABILITIES:
- Excellent organizational and multitasking abilities.
- Strong communication skills, both written and verbal.
- Proficiency in managing databases, filing systems, and ERP systems.
- Competency in creating correspondence, reports, and maintaining detailed records.
- Knowledge of quality control practices and engineering documentation processes.
- Ability to operate office machines, such as scanners and plotters.
- Proficient in MS Office and other office productivity software.
- Attention to detail with strong problem-solving skills.
DUTIES AND ESSENTIAL JOB FUNCTIONS:
The Administrative Assistant is responsible for:
- Organize and schedule meetings for administrators and engineering teams.
- Greet office visitors and direct them to the appropriate departments.
- Compose, prepare, and review documents, reports, and engineering drawings.
- Manage calendars, sort mail, and process quality control documentation.
- Handle project documentation, correspondence, and maintain engineering records.
- Perform data entry for reports, engineering/design items, and quality checks.
- Coordinate the reproduction of engineering drawings and enter data into the ERP system.
- Reconcile labels, inserts, and boxes according to regulatory compliance.
- Assist multiple departments by providing clerical support and general office coordination.
OTHER FUNCTIONS AND RESPONSIBILITIES:
Other duties assigned as required by the Director of Operations.
PREFERRED JOB SPECIFICATIONS:
- 2-year Associate’s degree in Business or similar field.
- Experience with working to a Quality Assurance program, e.g. ASME NQA-1, ISO-9001.
- General knowledge of assembly shop & manufacturing activities/environment.
