JOB SUMMARY

The Associate Director of Grant Accounting is responsible for the financial administration, monitoring, reporting, and compliance of federal, state, local, and private grants for the College. This position manages multiple grants simultaneously with varying contract periods, reimbursement requirements, regulations, and reporting deadlines. The Associate Director of Grant Accounting works independently to ensure accurate financial reporting, compliance with grant terms and conditions, and adherence to applicable federal, state, institutional, and donor regulations and supervises the Grant Accounting Specialist. This position serves as the primary financial liaison for assigned grants and works closely with grant directors, auditors, and internal departments to support effective fiscal management of sponsored programs.

ESSENTIAL FUNCTIONS

Provide leadership and subject matter expertise in grant accounting, compliance, financial reporting, and sponsored program administration
Maintain current knowledge of federal and state grant regulations, accounting standards, and higher education best practices through participation in professional development, continuing education, and relevant training programs, including travel 1-2 times a year
Supervise, train, evaluate, and provide daily direction to the Grant Accounting Specialist
Administer the financial accounting and reporting for federal, state, local, and private grants.
Monitor grant expenditures and budgets to ensure compliance with grant agreements, applicable regulations, and institutional policies.
Independently establish and maintain grant accounting structures, including department setup, general ledger accounts, budget controls, and system permissions, ensuring compliance with grant agreements, institutional policies, and applicable federal and state regulations.
Review and approve expenditures charged to grant accounts for allowability, allocability, and budget compliance.
Prepare and submit timely financial reports, reimbursement requests, drawdowns, and invoices to granting agencies.
Reconcile grant accounts and general ledger activity to grant financial reports and supporting documentation.
Maintain accurate accounting records for multiple grants with differing contract terms, reporting cycles, and compliance requirements.
Analyze financial transactions and prepare journal entries, budget revisions, and account adjustments as necessary.
Assist grant directors and departmental personnel with budget development, budget monitoring, and financial compliance matters.
Serve as the financial liaison to grant directors, federal and state program officers, and external auditors.
Prepare schedules, reconciliations, and supporting documentation for external and internal audits.
Assist with preparation of year-end financial reports, state reports, and audited financial statements.
Assist with month-end and year-end closing processes related to grants and assigned accounts.
Research and follow grant regulations and financial requirements to ensure compliance with federal, state, and institutional standards.
Perform general ledger maintenance
Assist the Director of Accounting and Associate Vice President of Accounting Services with financial analysis, reporting, and special projects.
Serve as backup support for the preparation and reporting of unclaimed property, 1099s, 1042-S, check processing, daily cash reporting
Perform other duties as assigned.

QualificationsRequired Qualifications

Bachelor’s degree in Accounting, Finance, Business Administration, or related field. Alternately, a minimum of 5 years of progressively responsible accounting and reconciliation experience.
Minimum of 3 years of progressively responsible accounting experience.
Demonstrated ability to independently manage multiple projects, deadlines, and competing priorities with minimal supervision.
Strong analytical, organizational, and problem-solving skills.
High level of accuracy and attention to detail.
Advanced in Microsoft Excel and financial/accounting software systems.
Excellent written, verbal, and interpersonal communication skills.
Ability to interpret and apply complex regulations, policies, and procedures.
Ability to establish and maintain effective working relationships with faculty, staff, auditors, and external agencies.
Must possess a valid Texas Driver’s License, good driving record, and be insurable on Midland College’s insurance policy
Ability to work extended hours, as necessary, to support critical reporting deadlines, audits, and other departmental priorities

Preferred Qualifications

Experience with federal grant administration and Uniform Guidance (2 CFR Part 200).
Working knowledge of GASB and GAAP.
Experience preparing financial reports, reconciliations, and budget analyses.
Experience in higher education, governmental, or nonprofit accounting.
Experience with state reporting requirements for Texas public colleges or universities.
Experience with Jenzabar One or other ERP/accounting systems used in higher education.
Knowledge of grant reimbursement processes and indirect cost allocations.
Experience preparing audit schedules and supporting external audits.
Master’s degree in Accounting, Finance, Business Administration, or related field.

Salary Range: $58,834 - $78,455
