McMillan has an exciting full time opportunity as an Assistant Technical Lead/Document Specialist as part of our Document and Administrative Support Hub (DASH) team. Reporting to the Manager, National DASH, this role is responsible for providing document processing support to firm members and assisting in the delivery of DASH-related technology initiatives and projects. Working in close collaboration with and under the guidance of the Technical Lead/Document Specialist, National DASH, you will gain hands-on exposure to technology evaluation, process improvement initiatives, team mentorship, and team and firm-wide technology rollouts, while developing deep proficiency in document production and DASH-related systems. This role is open based on an existing vacancy.
Shift:
Monday to Friday, 35 hours per week with a one (1) hour unpaid lunch break according to an agreed upon fixed schedule with DASH management. This position is located in our Toronto office and requires the applicant to work onsite one day per week as part of our Hybrid schedule. The team member must be available to attend in-office events as required.
What You’ll Do
- Provide document processing and technical support to the DASH team and firm members nationally.
- Assist the Technical Lead/Document Specialist, National DASH, in coaching and mentoring DASH team members.
- Troubleshoot technical and document-related issues and escalate complex matters as required.
- Support DASH technology upgrades and new initiatives by conducting research, evaluating options, testing solutions, and preparing reports.
- Assist in the maintenance and administration of DASH-related applications and firm-standard templates.
- Support firm-wide technology rollouts, including coordinating logistics and providing post-deployment assistance.
- Participate in the evaluation and pilot testing of advanced technologies, including automation and generative AI tools.
- Assist with User Acceptance Testing (UAT) for new tools and system enhancements.
- Develop and maintain technical documentation, user guides, and training materials.
- Perform document processing tasks using Microsoft Office (Word, Excel, PowerPoint), Adobe Professional, Litera Compare, and other firm applications.
- Create, convert, format, and style documents in accordance with firm standards.
- Generate blacklines, assemble documents, transcribe content, and proofread materials.
- Acknowledge work requests promptly and establish realistic completion timelines.
- Maintain the confidentiality, security, and integrity of documents and information in accordance with firm policies.
What You Bring
- Minimum 3 to 5 years of experience in a law firm environment in a legal assistant or document support role.
- College Diploma or Certificate in a legal, technology, or related field, or an equivalent combination of education, training, and relevant experience.
- Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Experience using legal industry applications such as Adobe Professional, comparison/blacklining software, and transcription tools.
- Proficiency with virtual communication and collaboration platforms such as Microsoft Teams.
- Experience with or a demonstrated interest in legal technology is considered a strong asset. Relevant certifications in document production, legal technology, or business applications (e.g., Microsoft Office Specialist, Adobe Certification) are considered an asset.
- Excellent English written and verbal communication skills with the ability to convey information professionally.
- Solid technical and digital aptitude along with strong administrative, organizational, time management, and interpersonal skills.
- High attention to detail with strong analytical and problem-solving abilities.
- Passion for providing high-quality document support and technical troubleshooting to Legal Professionals and Legal Administrative Assistants.
- Desire to take on increasingly complex assignments and develop independent judgment.
- Ability to work effectively both independently and collaboratively within a team environment.
- Receptive to mentorship, coaching, and constructive feedback.
- Eagerness to learn, adapt to, and leverage new technologies and digital tools.
- Demonstrates curiosity, creativity, and openness to strategic thinking and continuous improvement.
- Interest in exploring emerging technologies and identifying process enhancements under guidance.
- Willingness to develop expertise in practice-specific legal documents, including Litigation, Business Law, and Financial Services documents.
- Flexibility to work overtime as required.
