POSITION OVERVIEW:

The administrative assistant provides administrative support to the department by conducting research, preparing statistical reports, handling highly confidential information requests and performing clerical functions such as preparing correspondence, creating departmental reports, receiving visitors, arranging conference calls and scheduling meetings for their assigned department or leader.

ESSENTIAL FUNCTIONS:

Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Assist the department team as needed with any and all administrative duties.

  • Answer phone calls and direct calls to appropriate parties or take messages.

  • Screen visitors and determine whether they should be given access to specific individuals. Assists visitors with any other requests as needed. Other receptionist duties as assigned.

  • Read and analyze incoming emails, memos, submissions and reports to determine their significance and plan their distribution.

  • Plan and organize on-site and/or virtual meetings. This includes handling all travel and meeting document preparations.

  • File and retrieve corporate documents, records and reports.

  • May support with pre-hiring and onboarding processes.

  • May include coordinating high volume domestic and international travel arrangements for team including both commercial and private air travel.

  • Other duties as assigned.

EXPERIENCE AND EDUCATION:

  • High School Diploma

  • 1-2 years experience

OTHER QUALIFICATIONS:

  • Excellent verbal and written communication skills

  • Excellent time management

  • Collaborates effectively with associates at all levels of the organization and clients when needed.

  • Proficient in MS Office, Outlook, Word, Excel, PowerPoint, Internet Browsers, Workday, Microsoft Teams, SharePoint, and other software applications.

  • Ability to speak, read, and write in Spanish is strongly preferred to support our bilingual workplace in certain locations.

TRAVEL REQUIREMENTS:

  • Rarely – on average 5% of travel on a quarterly basis

WORK ENVIRONMENT:

This job operates in a professional office environment routinely using standard office equipment such as computers, phones, copiers, faxes, and filing cabinets.

The Administrive Assistant is not limited to the above-mentioned job description and may be requested to do additional tasks as directed by MasterCorp Management.
