The Department of Mental Health is seeking a dynamic and energetic individual to provide clerical support to the Child, Youth and Families office staff.  The selected candidate must be flexible, dependable, and interact well with professional staff, clerical support staff, service providers and persons served. This is a wonderful opportunity for an applicant who is interested in taking on the lead role in running an office. The selected candidate must be flexible and have the ability to prioritize tasks according to workflow and deadlines.

Please NoteThis position is a full-time, 37.5 hour/week position. The schedule is 9:00 a.m. - 5:00 p.m in the Northampton office.  Some travel may be required to the Berkshire office.  Days off are Saturday and Sunday.

 

Duties and Responsibilities (these are a general summary and are not all inclusive):

  • Provide receptionist and telephone coverage for Child, Youth and Families office by transferring calls, taking messages and document incoming calls.
  • Prepare correspondence, forms, files, and reports for processing, storage, or forwarding.
  • Assemble and mail outgoing correspondence or parcels.
  • Assist in maintaining office files and organization of correspondence reports, form files, applications, and active, inactive or historical persons serviced records according to established procedures in order to ensure accurate and complete information and retrieval of records.
  • Weekly coverage (1-2 days) for entering incident reports into the DMH database.
  • Assist in verifying accuracy of Service Delivery Reports.
  • Attends meetings and provides assistance to The Director.
  • Proofread typewritten material.
  • Operate standard office machines and equipment.

 

Required Qualifications:

  • Knowledge of Microsoft Office Software Programs.
  • Ability to work in a professional and courteous manner.
  • Ability to work in a fast-paced environment and prioritize duties independently.
  • Ability to handle confidential materials and adhere to strict DMH standards & HIPAA policies and procedures. 

 

Preferred Qualifications:

  • Knowledge of clerical office practices and procedures including office filing, typing and uses of office equipment and supplies, business letter and report preparation.
  • Record of demonstrating strong customer service through a positive attitude of approachability, adaptability, problem solving and desire to support staff.
  • Demonstrate ability to multi-task.
  • Excellent interpersonal and communication skills with the aptitude to work independently and collaborate with multiple staff.
  • Team centered cooperative work philosophy, professional demeanor and approach to work.
  • Given the population served, bilingual or multilingual fluency.

Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office work, or (B) and equivalent combination of the required experience and the substitutions below:  

I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required experience.   

II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.
  

III. A diploma for completion of a one year, full-time, or equivalent part-time,  program in a recognized,  non-degree granting business or secretarial school above the high school level may be substituted for a maximum or one year of the required experience.   

IV. A diploma for completion of a two-year, full-time, or equivalent part-time,  program in a recognized,  non-degree granting business or secretarial school above the high school level may be substituted for two years of the required experience.
  

* Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.
 

Salary placement is determined by a combination of factors, including the candidate’s years of directly related experience and education, and alignment with our internal compensation structure as set forth by the Human Resources Division’s Hiring Guidelines. For all bargaining unit positions (non-management), compensation is subject to the salary provisions outlined in the applicable collective bargaining agreement and will apply to placement within the appropriate salary range.
