The Opportunity

We are looking for an exceptional Executive Assistant to join our C-Suite Executive Support team.

This is not a traditional administrative position, and we are not looking for someone who simply manages a calendar, books, travel, and completes assigned tasks. We are looking for someone who takes tremendous pride in being the person behind the scenes who makes everything run better.

The right person is highly service-oriented, hardworking, resourceful, exceptionally organized, and naturally anticipates what others will need before they ask. You notice the details. You follow through. You move with urgency. You understand that supporting senior executives requires judgment, discretion, flexibility, and an unusually high level of personal ownership.

You will initially work as part of an established team supporting members of our C-Suite and executive leadership. As you learn the organization, demonstrate your capabilities, and build trust, there will be opportunities to take on increasingly complex and high-impact executive support responsibilities.

For the right person, this can become much more than an Executive Assistant position.

What You'll Do

Executive Support

  • Manage complex and constantly evolving executive calendars, priorities, meetings, and commitments.
  • Proactively identify scheduling conflicts, competing priorities, missing information, and potential issues before they become problems.
  • Prepare executives for meetings by ensuring they have the information, materials, context, and logistics they need.
  • Coordinate internal and external meetings involving senior executives, business partners, leadership teams, and other key stakeholders.
  • Manage executive travel from beginning to end, including detailed itineraries, transportation, accommodations, schedule changes, and contingencies.
  • Draft, organize, review, and coordinate executive correspondence, presentations, reports, meeting materials, and other communications.
  • Handle highly confidential and sensitive information with exceptional judgment and discretion.

Follow-Through & Execution

  • Track commitments, decisions, requests, and action items to ensure nothing falls through the cracks.
  • Follow up with executives and team members respectfully but persistently when something needs to get done.
  • Turn conversations and requests into clear next steps and ensure those next steps are completed.
  • Take ownership of projects and requests from beginning to end rather than waiting for continual direction.
  • Recognize when something is incomplete, incorrect, delayed, or below expectations and take action to resolve it.
  • Maintain an exceptional level of accuracy while operating in a fast-moving environment.

C-Suite & Team Coordination

  • Work closely with other Executive Assistants as a true team, sharing information, responsibilities, and coverage when necessary.
  • Coordinate across departments and with senior leaders to keep priorities moving.
  • Serve as a trusted liaison between executives and internal and external stakeholders.
  • Understand the broader priorities of the executive team so you can make good decisions without needing instructions for every situation.
  • Help create systems, processes, and organizational tools that make the entire Executive Support function stronger and more efficient.

Meetings, Travel & Events

  • Coordinate leadership meetings, retreats, conferences, dinners, and special events.
  • Anticipate executive needs before, during, and after meetings and events.
  • Manage changing schedules and last-minute requests calmly and effectively.
  • Be willing and available to travel when executive support requires it.

  • You are flexible. You understand that supporting C-Suite executives does not always fit neatly into traditional business hours.
  • You are a team player. You want the entire Executive Support team to succeed, not just your individual executive.

What Excellence Looks Like in This Role

The best person in this position will eventually know the executives they support so well that they can anticipate many needs without being asked.

You will know which meetings matter most. You'll recognize when a calendar does not make sense. You'll remember the follow-up someone mentioned three days ago. You'll catch the missing attachment, confirm the car is waiting, make sure the executive has the right information before walking into the room, and already have a solution underway when plans suddenly change.

Most importantly, executives will trust that when something is handed to you, it is handled.

Qualifications

  • 5+ years of experience supporting senior executives, C-Suite leaders, founders, entrepreneurs, or similarly demanding principals preferred.
  • Demonstrated experience managing complex calendars, executive travel, meetings, events, and competing priorities.
  • Excellent written and verbal communication skills.
  • Exceptional organizational and project management capabilities.
  • Strong proficiency with modern productivity, communication, and project management technology.
  • Ability to work independently while collaborating closely with a team.
  • Experience in a high-growth, entrepreneurial, real estate, technology, financial services, or similarly fast-paced organization is a plus.
  • Ability and willingness to travel as needed.
  • Flexibility outside standard business hours when circumstances require executive support.
