Your Opportunity

As an Administrative Assistant, you’ll play an important role in the daily operation of the clinic and the experience of every client who walks through our doors. You’ll work closely with our clinical and administrative teams to coordinate appointments, support patient flow, maintain accurate records, and provide friendly, professional service.

Your Impact

In this role, you will: 

  • Welcome and assist patients in a friendly and professional manner
  • Manage appointment bookings, confirmations, cancellations, and follow-up calls
  • Answer phone calls and emails promptly and professionally
  • Coordinate with clinicians to support treatment plans and continuity of care
  • Guide clients through the clinic and ensure smooth transitions to treatment areas
  • Complete patient intake and maintain accurate, confidential records
  • Process payments, invoices, and insurance claims
  • Provide information about clinic services and follow-up scheduling
  • Support daily clinic operations and patient flow
  • Maintain an organized, welcoming, and professional reception area
  • Build positive relationships with clients, team members, funders, and referral sources

We’re looking for someone who is friendly, dependable, and committed to creating an exceptional client experience. You communicate clearly, pay close attention to detail, and remain organized while balancing multiple priorities.


Key qualifications include:

  • High school diploma or equivalent; post-secondary education is an asset
  • Previous administrative or customer service experience
  • Strong communication and interpersonal skills
  • Excellent organization, accuracy, and attention to detail
  • Ability to multitask and thrive in a busy clinic environment
  • Proficiency with computers, spreadsheets, and scheduling software
  • Experience with insurance billing and claims processing is an asset
  • A collaborative, patient-first approach
  • Flexibility to support clinic scheduling needs
