About this role
As our Property Manager Assistant, you will provide essential administrative assistance to the Property management team. You will be the first point of contact for contractor communication and ensure all enquiries are logged, tracked, and resolved promptly.
You will liaise with internal teams and contractors, manage access codes, and keep tenants updated throughout the process. The role requires strong organisational skills, time management, excellent communication, and the ability to progress defect repairs efficiently while supporting the Property Managers in the day-to-day running of the department.
You’ll also assist with reporting, maintain accurate records, and contribute to improving processes to deliver a high standard of customer service.

- Previous administrative experience in the lettings or property management industry.
- Experience with a property management
- A basic understanding of common property maintenance and repair issues.
- Exceptional attention to detail.

- Problem-solving approach, able to act on initiative.
- A proactive, can-do attitude, resilience, and the ability to work calmly under pressure while taking ownership of issues.
- Ability to manage a busy workload, prioritise tasks, and meet deadlines.
- Excellent verbal and written communication skills for dealing with tenants, landlords, and contractors.
- Competent in using Microsoft Office applications (Word, Excel, Outlook) and comfortable learning new software quickly.
- A proactive and empathetic approach to resolving tenant issues positively.
- Ability to work effectively within a team environment and assist colleagues as needed.
- Act as the primary point of contact for customers, residents, or other stakeholders regarding defect inquiries, providing regular updates on progress.
- Repair and churn support
- Maintain effective communication with internal teams, such as resident services, DLO, and Aftercare to ensure a collaborative approach to resolutions.
- Manage work orders and purchase orders
- Provide regular updates to tenants regarding the status of their reported repairs.
- Support back up for processing new and historic works orders for holiday and sickness absence.
- Assist the wider team with general administrative tasks, such as managing correspondence, managing the property management inbox and chasing overdue works orders.
- Weekly reporting on open and closed works orders
- Contribute to the continuous improvement of property management processes by suggesting new ideas and best practices.
