Commercial Real Estate Loan Closer Job Description
The Commercial Real Estate Loan Closer is responsible for coordinating and managing the closing process for commercial real estate loan transactions from approval through funding, booking, and post-closing follow-up. This role works closely with commercial lenders, borrowers, guarantors, attorneys, title companies, escrow agents, insurance agents, appraisers, environmental vendors, credit administration, loan documentation, closing, servicing, and compliance teams to ensure all pre-closing conditions, due diligence items, closing documents, settlement requirements, funding instructions, and post-closing items are complete, accurate, and handled in accordance with bank policies, procedures, regulatory requirements, and established service standards. The Commercial Real Estate Loan Closer serves as a key point of contact during the closing process and helps facilitate timely, accurate, and compliant commercial real estate loan closings.
Essential Duties and Responsibilities
- Coordinate and manage commercial real estate loan closings, including new loans, renewals, modifications, extensions, construction loans, refinances, and related transactions in accordance with approved terms and bank procedures.
- Review loan approvals, commitment letters, credit conditions, due diligence requirements, closing checklists, and documentation requests to ensure all closing requirements are identified and tracked.
- Work with attorneys, title companies, escrow agents, borrowers, guarantors, insurance agents, appraisers, environmental vendors, and internal departments to obtain, review, and resolve required closing items.
- Review title commitments, surveys, lien searches, UCC filings, flood determinations, insurance evidence, entity documentation, appraisals, environmental reports, tax information, payoff statements, and other due diligence items for completeness and consistency with loan approval requirements.
- Coordinate preparation, review, execution, and delivery of commercial real estate loan documentation, including notes, mortgages or deeds of trust, security agreements, guaranties, assignments, resolutions, certifications, construction-related documents, and other closing materials.
- Prepare and maintain closing checklists, closing calendars, status updates, settlement requirements, funding requests, wire information, and closing packages to support accurate and timely loan closings.
- Review settlement statements, closing disclosures when applicable, payoff information, fee collection, escrow instructions, title premiums, recording charges, and funding requirements for accuracy prior to closing.
- Confirm all pre-closing conditions, approvals, insurance requirements, collateral documentation, lien perfection items, and funding conditions are satisfied or appropriately escalated before loan funding.
- Coordinate loan funding, booking, document imaging, collateral tracking, tickler setup, exception tracking, and handoff to loan servicing or post-closing teams.
- Monitor and resolve post-closing items, including recorded documents, final title policies, endorsements, UCC confirmations, insurance updates, construction documentation, trailing documents, and documentation exceptions.
- Communicate closing status, outstanding requirements, risks, delays, and resolution steps to commercial lenders, borrowers, attorneys, management, and internal stakeholders in a professional and timely manner.
- Research and resolve closing documentation, title, escrow, funding, lien, collateral, insurance, or post-closing issues by working with the appropriate internal and external parties.
- Maintain accurate physical and electronic commercial real estate loan files and protect confidential customer, guarantor, property, and bank information at all times.
- Prepare documentation and file materials for internal reviews, external audits, regulatory examinations, compliance requests, quality control testing, and management reporting.
- Ensure all departmental documents and activities are completed in compliance with applicable laws, regulations, policies, procedures, internal controls, and required compliance training.
- Perform other duties and responsibilities as assigned.

- Ability to read, interpret, and apply commercial real estate loan approvals, commitment letters, closing instructions, title commitments, surveys, entity documents, collateral documentation, lending policies, procedures, regulatory guidance, correspondence, and other business documents.
- Knowledge of commercial real estate lending terminology, loan closing procedures, title and escrow processes, collateral documentation, lien perfection, UCC filings, insurance requirements, loan documentation, and post-closing follow-up.
- Ability to manage multiple closings, deadlines, closing checklists, third-party requests, due diligence items, funding requirements, and post-closing exceptions in a fast-paced environment.
- Strong attention to detail and ability to review closing documents, settlement statements, title requirements, insurance evidence, entity documentation, and funding information for accuracy.
- Strong communication, customer service, and relationship-support skills, including the ability to interact professionally with borrowers, guarantors, lenders, attorneys, title companies, escrow agents, vendors, auditors, examiners, management, and internal departments.
- Strong problem-solving and research skills, including the ability to identify and coordinate resolution of closing, title, escrow, lien, collateral, insurance, funding, or post-closing issues.
- Ability to maintain confidentiality and exercise sound judgment when working with sensitive customer, guarantor, property, loan, and bank information.
Education and/or Experience
- High school diploma or equivalent required; associate’s or bachelor’s degree in business administration, finance, accounting, banking, or a related field preferred.
- Two to five years of experience in commercial loan support, commercial loan processing, loan servicing, loan operations, credit administration, portfolio support, or a related banking function preferred.
- Experience with commercial loan documentation, collateral tracking, exception monitoring, customer support, loan maintenance, reporting, UCC filings, real estate secured loans, or commercial loan servicing is preferred.
Computer Skills
- Proficiency with Microsoft Office programs, especially Word, Excel, Outlook, and Teams.
- Experience using loan origination, loan documentation, imaging, workflow, tickler, exception tracking, collateral tracking, reporting, servicing, or core banking systems preferred.
- Ability to enter, retrieve, review, reconcile, monitor, maintain, and report commercial loan and customer data accurately across multiple systems.
Other Qualifications (including physical requirements)
- Strong organizational skills and the ability to maintain accurate commercial loan files, portfolio records, exception tracking, reports, and documentation control systems.
- Ability to sit or stand for extended periods and perform routine office tasks, including reviewing documents, scanning, filing, and working at a computer for extended periods.
- Ability to lift, carry, or move loan files, document boxes, and office supplies, typically up to 25 pounds.
- Occasional travel may be required for meetings, training, closings, audits, examinations, or support of other bank locations.
- Ability to work both independently and collaboratively with commercial lenders, credit, loan documentation, closing, servicing, compliance, branch teams, and management.
