Position Summary

The Assistant Community Manager is the operational backbone of the site team. You own the resident ledger from first payment to final account statement, keep delinquency low and documentation clean, and step in as the community's decision-maker whenever the Community Manager is off site. This is a hands-on role: you will be at the front desk, in the ledger, and on the property in the same day.

Key ResponsibilitiesFinancial Operations & Rent Collection
  • Post all payments daily — lockbox, online portal, money orders — and reconcile to the bank deposit before close of business
  • Run and analyze the delinquency report; separate returned items and payment-plan residents from true non-payment before any action is taken
  • Issue balance statements and late notices within the timelines set by the lease and North Carolina law; log the delivery date and method on every account
  • Assess late fees accurately and only where the lease and statute permit
  • Negotiate, document, and monitor payment plans; escalate breaks in the plan promptly
  • Prepare eviction files and coordinate with counsel; attend court as the community's representative when required
  • Complete move-in and move-out accounting, including final account statements and security deposit dispositions within the statutory window
  • Code invoices, submit purchase orders, and support the Community Manager on monthly variance reporting and budget preparation
Leasing & Occupancy
  • Respond to every new lead within 10 business hours and maintain a disciplined call–text–email follow-up cadence until the lead converts or closes
  • Conduct tours, qualify prospects, and process applications through screening in accordance with Fair Housing and the community's published criteria
  • Prepare, audit, and execute lease documents and renewals; verify every lease file is complete before the resident takes possession
  • Drive the renewal campaign — outreach, pricing conversations, and closing — to protect occupancy through turn season
  • Complete weekly market surveys and report competitor pricing, concessions, and availability
  • Maintain accurate availability, traffic, and conversion data in [Yardi / Entrata / RealPage / AppFolio]
Resident Relations
  • Serve as a primary point of contact for residents; resolve concerns with professionalism and follow through to closure
  • Track service requests from intake to completion and follow up with residents on satisfaction
  • Support resident retention programming and community events
  • Document all resident communication consistently and objectively
Operations & Compliance
  • Walk the property regularly; report life-safety issues, curb-appeal concerns, and vacant unit condition to the Community Manager and maintenance team
  • Maintain resident files and community records in audit-ready condition
  • Apply Fair Housing, ADA, North Carolina landlord–tenant law, and company policy consistently in every interaction
  • Support winter-weather readiness — inclement weather is a routine part of operating in Boone, and the site team is expected to staff and respond through it
  • Assume the Community Manager's responsibilities during absences, vacations, and coverage gaps
QualificationsRequired
  • High school diploma or equivalent
  • [1–2]+ years in residential property management, leasing, collections, or a comparable customer-facing role with financial responsibility
  • Demonstrated comfort with ledgers, delinquency reporting, and basic accounting concepts
  • Strong written and verbal communication; able to hold a firm, respectful collections conversation
  • Proficiency with property management software and Microsoft Office / Google Workspace
  • Valid driver's license and reliable transportation
  • Ability to work a rotating weekend schedule and participate in an on-call rotation
Preferred
  • Experience with [Yardi / Entrata / RealPage / AppFolio]
  • Working knowledge of North Carolina landlord–tenant law and the summary ejectment process
  • North Carolina real estate license, or willingness to obtain one
  • Industry credentials (CAM, NALP, ARM) or progress toward them
  • Prior experience with [student housing / conventional multifamily / lease-up] operations
  • Conversational Spanish

Physical Requirements & Work Environment
  • Regularly walk the property, including stairs, sloped terrain, and outdoor areas in all weather conditions
  • Occasionally lift and carry up to 25 pounds
  • Extended periods of sitting, computer use, and telephone work
  • Work is performed on site at the community; this is not a remote or hybrid position
