Responsibilities
Our newest opportunity is for a talented Document Controller to join our team, supporting our client on a major engineered landfill project based in Al Ain, UAE.
The project involves the construction of a new engineered landfill facility comprising non-inert (municipal solid waste) and inert (construction and demolition waste) cells. The works include major earthworks and engineered bund construction, landfill lining systems, leachate collection, stormwater infrastructure and associated access roads.
The Document Controller will provide document control and administrative support to the project team, ensuring that project documentation is accurately registered, controlled, distributed, tracked and maintained in accordance with established procedures and project requirements.
We envisage success in this role to include;
- Receiving, registering, logging and distributing incoming and outgoing project documentation.
- Maintaining accurate document registers, transmittals and submission logs.
- Organizing and maintaining electronic and physical project filing systems.
- Supporting document numbering, revision and version control.
- Tracking document review and approval cycles and following up on outstanding actions.
- Coordinating the submission, review and return of technical documents between the Client, Consultant, Contractor and other project stakeholders.
- Checking documents for completeness, correct formatting, references and required supporting information prior to submission.
- Maintaining records of drawings, specifications, reports, technical submittals, correspondence and other project documentation.
- Supporting the compilation and submission of project documentation to relevant stakeholders and authorities.
- Ensuring superseded documents are appropriately identified, archived and retained in accordance with project procedures.
- Maintaining confidentiality and ensuring the secure handling of project information.
- Assisting with audits, document retrieval and project record-keeping activities.
- Coordinating with project teams to ensure timely submission and close-out of documentation.
- Supporting project personnel and consultants in complying with established document control procedures.
- Identifying and escalating document control issues to the Senior Document Controller or relevant project management personnel when required.
Qualifications
To be successful in this role, you will have:
- Minimum 5 years of relevant Document Control experience.
- Bachelor’s degree in Engineering, Business Administration, or a related field.
- Experience within an engineering consultancy, contractor or construction project environment.
- Experience supporting civil, infrastructure, environmental or waste management projects is preferred.
- Proficiency in Aconex, SharePoint or similar EDMS platforms.
- Good understanding of document numbering, revision control, transmittals, workflows and document registers.
- Strong organizational skills, attention to detail and ability to manage high volumes of documentation.
- Proficiency in Microsoft Office Suite.
- Candidates currently based in the UAE and available for an in-person interview will be preferred.
- Arabic language skills are an advantage but not mandatory.
