We are seeking a professional and highly organized Legal Receptionist to serve as the welcoming face and voice of our client's downtown office. In this pivotal role, you will ensure smooth office operations by managing front desk responsibilities, supporting administrative functions, and maintaining client confidentiality. Essential Job Functions
Reception & Visitor Services
- Manage the reception desk in the main lobby.
- Greet visitors and provide a professional, welcoming, and courteous experience.
- Serve as the primary point of contact for visitors, customers, and client personnel.
- Ensure the lobby is clean, organized, and presentable at all times.
- Enforce and maintain security compliance standards regarding visitor badges.
- Assist visitors with special requests, such as arranging taxis, providing restaurant recommendations, contacting shuttle drivers, and providing wireless router passwords to authorized users.
- Perform other front desk responsibilities as assigned.
Conference Room & Office Support
- Maintain schedules for conference rooms and visitor offices.
- Assist associates with conference room reservations and room preparation.
- Provide guidance to customers using the conference room management system.
- Order breakfast, lunch, and dinner when required for meetings.
- Ensure conference rooms and visitor spaces are properly prepared and maintained.
Administrative & Customer Service Support
- Act as the switchboard for internal calls.
- Maintain the highest levels of customer service while demonstrating a friendly, professional, and helpful demeanor.
- Perform duties and special requests as assigned by management and the client.
- Ensure operating and quality standards are consistently met based on established service objectives.
- Maintain accurate reports, logs, and measurements.
- Demonstrate flexibility in satisfying customer needs and proactively address facility-related needs.
- Ensure adherence to business guidelines, including safety and security procedures.
- Work collaboratively with team members to ensure the office operates efficiently and professionally.
Qualifications
- High school diploma or equivalent (GED) required.
- Minimum of 2 years of receptionist-related experience required.
- Law firm experience preferred.
- Proficiency with email systems, Microsoft Office, and Outlook.
- Strong organizational and administrative skills.
- Excellent verbal and written communication skills with the ability to interact professionally with customers and client personnel.
- Ability to excel in a fast-paced, multitasking, team-oriented environment.
- Ability to work effectively both independently and as part of a team.
- Ability to adhere to and administer company policies and procedures.
- Creative thinker with strong problem-solving skills.
- Outstanding work ethic and professional demeanor.
- Ability to lift or move 40 lbs. or greater.
- Ability to grasp, lift, or carry packages on a standard wheeled cart with a load capacity of 75 lbs.
- Ability to walk, bend, kneel, stand, or sit for extended periods of time.
- Ability to work additional hours as needed.
Compensation
The compensation range for this role is $24.00 to $26.00 USD per hour. Actual compensation within that range will be dependent upon the individual's location, skills, experience, and qualifications.
