Working Student: People & Office Experience (m.w.d)

Berlin · Hybrid

About this role

Your mission

As JUNA's Working Student for People & Office Experience, you'll be the glue that keeps our Berlin office running smoothly and our team feeling supported — acting as the first point of contact for people experience topics while owning day-to-day office management.

People Experience
Reporting to our Head of Culture & Comms, you'll be the first line for people experience matters, such as:
  • Answering everyday employee questions (office logistics, onboarding basics, general HR queries) and knowing when to escalate
  • Supporting onboarding and offboarding logistics for new joiners and leavers
  • Helping coordinate team events, celebrations, and culture initiatives
  • Acting as a friendly, approachable point of contact so people know where to turn

Marketing
You'll also lend a hand in shaping how JUNA shows up, internally and externally:
  • Supporting employer branding content — LinkedIn posts, career page updates, job ad drafts
  • Capturing and sharing moments from team events and culture initiatives (photos, short recaps, social posts)
  • Assisting with internal communications, such as newsletters and team updates
  • Helping put together simple marketing materials for events or campaigns

Office Management
Supplies & Facilities
  • Consumables ordering (REWE, kitchen, toilet paper) — incl. automation
  • Pfand & waste management & other suppliers
  • Handyman / maintenance coordination — must be on-site to supervise
  • Office cleanliness standards
  • Rent & landlord relationship
Safety & Compliance
  • BG Verkehr and administrative requirements — registration, contribution reporting, incident reporting
  • Administrative audits — preparation, documentation, on-site coordination
IT Equipment
  • Order laptops for new hires (standard spec)
  • Set up accounts, email, and software licenses for new hires (automate where we can)
  • Manage software licenses for the tools we use
  • Track hardware assets (serial numbers etc.) so we know what's out there

What That Looks Like
In the beginning:
  • Ramp Up Quickly: Get familiar with JUNA's office setup, tools, and key contacts (landlord, suppliers, IT).
  • Own the Basics: Independently handle recurring office management tasks (supplies, IT equipment ordering).
  • Build Relationships: Become a known, trusted face for people experience questions across the team.
Looking ahead:
  • Reliable Owner: Run office operations with minimal oversight, flagging issues before they become problems.
  • Process Improver: Identify opportunities to automate or streamline recurring admin tasks.
  • Culture Contributor: Play an active role in shaping team events and people initiatives alongside the Head of Culture & Comms.

Your profile

What you bring:

  • Currently enrolled in a Bachelor's or Master's program, ideally in Business Administration, HR, Office Management, or a related field.
  • Available to work on-site in Berlin (Kreuzberg) for at least 15–20 hours/week, as several tasks (maintenance coordination, audits, supplies) require physical presence.
  • Professional fluency in English required.

Who you are:

  • Organized and detail-oriented — nothing falls through the cracks on your watch.
  • Proactive and hands-on — you don't wait to be told, you notice what needs doing.
  • Approachable and discreet — colleagues feel comfortable coming to you with people-related questions.
  • Comfortable juggling admin, logistics, and people topics in the same day.

Bonus points if you have:

  • Experience planning or coordinating events (team offsites, celebrations, etc.).
  • German at B2 level or above (not a hard requirement, but helpful for supplier and landlord communication).
