About the Role

As Booking Agent, you will be responsible for processing and managing travel reservations for Japan Experience customers.

Working under the Booking Supervisor, you will ensure that bookings are accurate, completed within deadlines and properly recorded. You will liaise with suppliers and internal teams to manage reservations, changes, special requests and operational issues.

The role requires strong organization, attention to detail and the ability to manage multiple bookings and deadlines.

Key Responsibilities

Booking Operations

  • Process reservations for trains, rail passes, flights, ferries, buses, car rentals, airport transfers, luggage delivery, Pocket WiFi, eSIM and other travel services.

  • Ensure bookings are accurate, confirmed on time and properly documented.

  • Monitor booking deadlines and pending reservations.

  • Check confirmations and update internal systems.

Supplier Communication

  • Communicate with suppliers to make and confirm reservations.

  • Manage changes, cancellations and special requests.

  • Follow up on delayed or problematic bookings.

  • Resolve issues or escalate them to the Booking Supervisor when necessary.

Internal Coordination

  • Work closely with the Booking Supervisor, Sales, Customer Support, Product and Operations teams.

  • Share relevant booking information in a timely manner.

  • Flag any issue that could impact the customer experience or itinerary.

Quality & Efficiency

  • Maintain a high level of accuracy across all bookings.

  • Follow established booking procedures and quality standards.

  • Identify recurring issues or inefficient processes.

  • Suggest improvements to the Booking Supervisor.

  • Support new tools, automation and process improvement initiatives.

Reporting Line

The Booking Agent reports directly to the Booking Supervisor, who is responsible for workload allocation, priorities, support on complex cases, training and performance monitoring.

  • Able to manage multiple tasks simultaneously.

  • Good communication skills.

  • Comfortable working with digital tools and booking systems.

  • Customer-focused and operationally minded.

  • Professional level of English.

Requirements

Essential

  • Previous experience in travel operations, reservations or tourism.

  • Strong organizational and time management skills.

  • Excellent attention to detail.

  • Ability to work independently while following procedures.

  • Professional level of English.

Preferred

  • Experience in inbound tourism.

  • Knowledge of the Japanese travel industry.

  • Experience with booking or reservation systems.

  • G Suite / CRM experience.

  • Japanese language ability (JLPT N3 or above is a plus).
